Job Title: Transport Administrator - six-month contract

Location: Walton-on-Thames, Surrey (with regular travel across Surrey-based services)

Hours: Full-time, Monday - Friday - 37.5 hours per week

Salary: \xc2\xa327,210 - \xc2\xa328,660

We are seeking a dedicated professional to join our team as an Administrative Support Specialist for our Community Transport Service. In this role, you will play a pivotal part in ensuring the smooth and efficient operation of our transportation services, contributing to the high standard of customer service we provide.

Key responsibilities:

  • \xc2\xb7 Resolving invoice queries, cancellations, and refunds promptly and efficiently.
  • \xc2\xb7 Managing and maintaining records of vehicle servicing and repairs to ensure safety and compliance.
  • \xc2\xb7 Handling speed/traffic offense fines, appeals, and payments, while keeping the Community Transport Manager informed.
  • \xc2\xb7 Coordinating with Operations to ensure seamless and secure internal transport routes.
  • \xc2\xb7 Collaborating with Quality Assurance to uphold Health and Safety standards within the transport division.
  • \xc2\xb7 Processing invoices for Self-Funders in coordination with the Finance department.
  • \xc2\xb7 Monitoring route capacity through our internal database to optimize efficiency.
  • \xc2\xb7 Assisting the Community Transport Manager in matters related to insurance and vehicle taxing.
  • \xc2\xb7 Managing the Surrey Choices transport management system, including route updates and customer records.
  • \xc2\xb7 Working closely with drivers and escorts to ensure smooth scheduling and adherence to company policies.
  • \xc2\xb7 Allocating duties, monitoring timekeeping, and assisting with driver training.
  • \xc2\xb7 Ensuring appropriate attire for drivers and escorts during duty and reporting any issues promptly.
  • \xc2\xb7 Collaborating with the Senior Operations Manager in the absence of the Community Transport Manager for payroll and invoicing matters.
  • \xc2\xb7 Facilitating vehicle repairs and insurance claims in coordination with the Community Transport Manager.
  • \xc2\xb7 Responding to complex transport requests with thorough research and coordination.
  • \xc2\xb7 Providing general administrative support to other services as needed.
