The role:

We are looking to recruit a Fleet & Transport Administrator to provide flexible and key administration support for the Group Fleet and Group Transport departments, to help to maintain legal compliance.

Main duties will include:

Overseeing the administrative aspects of the Trutac system to ensure the system runs effectively. Providing assistance, support and coaching to colleagues utilising the Trutac system, to continually improve knowledge and awareness. Generating and circulating management information and reports. Maintaining theTrutac system to ensure that all issues (e.g defects, inspections) are closed out in a timely manner. Updating the fleet calendar in Trutac on a daily basis. Uploading service sheets, MOT information, brake test reports, LOLER reports, job cards, tyre sheets and other associated paperwork associated with vehicle maintenance and with the clearance of defects. Monitoring and reviewing information uploaded on to Trutac to ensure information is complete, accurate and up to date. Flagging up any anomalies with the Group Transport Manager and Workshop Managers. Updating the driver calendar in Trutac on a weekly basis. Using downloaded tachograph information to input holidays, sickness and CPC hours. Monitoring and reviewing tachograph downloads and flagging up any anomalies with the Group Transport Manager. Where necessary chasing drivers to ensure tachographs are downloaded regularly. Raising defects recorded from offsite services. Updating vehicle files, ensuring accurate and up-to date files are kept on record. Inputting workshop job card information on to the mainframe system for costing purposes. Collating and sending out information for offsite services and MOTS. Processing offsite MOT and service sheets from R & M vehicles. Producing and distributing the weekly fuel reports. Downloading the driver infringements and forwarding to the Transport Controllers. Checking all driver infringements are recorded fully and that driver files are up to date. Chasing up any outstanding information as required. Liaising with DVSA representatives, following recommendations to apply the DVSA Earned Recognition Scheme standards to company practice and standards. Dealing with general telephone queries. Complying with ISO14001, ISO9001 and ISO45001 procedures. Other general administration duties as reasonably requested.

Technical Skills/ Qualifications / Experience Required



Must be computer literate with proficiency in Microsoft office packages including intermediate to advanced Excel and Word skills.

Experience of working with management systems.

Mechanical knowledge will be beneficial.

Experience of working to the DVSA earned recognition standards is desirable

Hours of Work:

40 hours per week

Monday - Friday : 08:30 -17:00 (half hour lunch)
