Transport Strategy Centre (TSC) Administrative Assistant

The post holder will be responsible for completing administrative tasks, as directed by the Transport Strategy Centre (TSC) Centre Support Manager and other staff as appropriate, providing administrative, meeting, finance, IT and office management support for the Transport Strategy Centre (TSC) staff. They will be tasked with reviewing day-to-day queries and responding as appropriate and escalating complex issues as necessary. In addition to being proactive, they must also have a flexible approach to their work, accommodating ad-hoc requests. As the Transport Strategy Centre (TSC) Administrative Assistant, you will provide support to a multidisciplinary team of academics, transport specialists and researchers. The post holder will be the daily point of contact for all of these groups and must be able to communicate effectively at all levels, both in person and in writing, in a confident and confidential manner. The post holder will have the ability to use their initiative, manage their workload and provide cover for other administrators during absences.


What you would be doing

You will provide support in the following areas:


Meetings and Events. You will assist with the planning and organisation of internal and external meetings & Benchmarking Consortia meetings, travel and accommodation bookings as well as prepare any associated materials. Financial. You will raise Purchase Orders, set up new suppliers, track spending, address queries, submit claims on behalf of team members and support the year-end financial process. IT, Website & Social Media. You will monitor and update websites and social media platforms, TSC briefings and manage the TSC IT filing systems. Office Management. You will provide high-level front-line support to the Centre Support Manager, TSC Staff and Students to ensure the smooth running of the TSC. Post and Courier Duties. You will arrange post and courier services and collect mail on behalf of the staff and students of the TSC.

What we are looking for

Minimum of 4 GCSE's or equivalent including Maths and Engligh Language. -Good literacy and numeracy skills. Computer literate, including MS Excel, Word, and Outlook. -Understanding of customer service best practices. Excellent administrative, organisational and time-management skills with the ability to prioritise and work on multiple projects simultaneously. Proactive, respectful and team mindset with the ability to also work autonomously. Ability to work with precision, consistency and high attention to detail. Willing to undertake appropriate training and attend seminars as required. Flexible attitude towards work in terms of changing priorities and different tasks from day to day.
