We are seeking a versatile and highly organised Transport Team Member to become an integral part of our four-person transport team. Reporting to the Transport Operations Manager, this role is essential to the smooth running of our entire operation. You will be responsible for the fleet coordination and logistics of approximately 100 vehicles, while assisting with driver management to ensure the highest levels of customer service are maintained. Your duties will also extend to assisting with specialised logistics, such as school transport coordination. You will be a key member of the team responsible for all aspects of transportation and logistics.
Key Responsibilities
Fleet Scheduling & Logistics:
Proactively manage the fleet calendar, organising all vehicle checks, bookings, services, and statutory inspections to ensure compliance and maximise vehicle availability.
Driver & Vehicle Allocation:
Manage all incoming driver rental requests by carrying out necessary compliance checks, strategically pairing drivers with suitable vehicles, and liaising with our partner garage to confirm vehicle availability.
Driver Support & Service Standards:
Assist with driver management to ensure the highest standards of customer service are maintained and that all company policies are adhered to.
School Transport Support:
Assist in the coordination of school transport services, ensuring schedules are met and all logistical requirements are handled efficiently.
Workload Planning:
Plan and organise the weekly workload for the fleet team, ensuring all tasks are completed efficiently.
Vehicle Handovers:
Manage the vehicle check-in/check-out process for all driver handovers, meticulously documenting vehicle condition and applying charges for damages, valeting, or fuel shortages as required.
Data & Records Management:
Maintain precise, up-to-date records using Microsoft Office and Google Sheets. This includes tracking daily vehicle locations, logging weekly driver mileage, identifying the driver on each vehicle, managing DVLA check information, and documenting all maintenance.
Claims Administration:
Support the claims management process by liaising with the Transport Operations Manager to ensure all claims are processed accurately and efficiently.
Essential Skills & Experience
Proven experience in an administrative or coordination role where organisation and attention to detail were critical.
A high level of proficiency with Microsoft Office Suite (especially Excel) and Google Sheets.
Excellent communication and interpersonal skills, with the ability to liaise effectively with drivers, internal teams, and external partners.
A proactive and self-motivated approach to problem-solving.
A full, valid Driver's Licence is essential for this role.
Candidates must have a minimum of 3 years of driving experience.
