Job Description

David Chipperfield Architects London (DCAL) is seeking a Travel and Front of House Coordinator to join our Operations team. In this role, you'll be responsible for managing all company travel arrangements, serving as the primary resource for staff travel needs while ensuring adherence to our sustainability commitments. You'll coordinate comprehensive travel itineraries including flights, accommodations, and ground transportation while maintaining meticulous records and relationships with our travel partners.


You will provide crucial administrative support to our Leadership team, coordinating Director participation in key events and global meetings. Working alongside our FOH & Hospitality Coordinator, you'll help maintain our welcoming studio environment by greeting visitors, managing meeting spaces, and assisting with office events that foster our collaborative culture.


This position requires full-time presence in our London studio.



Responsibilities



Travel



--manage all company travel booking requests through the office portal for staff and occasionally clients, collaborators, or external colleagues

--provide exemplary travel booking service and adapt to individual travel needs where required

--book flights, hotels, trains, and transfers and add travel itineraries to calendars

--maintain the practice travel calendar

--ensure timely renewal of travel documents

--file all company travel records appropriately

--maintain relationships with travel suppliers

-- document and regularly review travel processes and supplier relationships with the Head of

Operations

--work closely with the Sustainability team to align travel processes with the wider office sustainability strategy whilst ensuring required travel-related carbon data is captured



Administrative support (General, Leadership)



--manage the office Leadership calendar and assist the team of Directors with general scheduling and administrative tasks

--coordinate Director attendance and itineraries for key events and global meetings (e.g. Group Leadership meetings)

--act as the central point of contact for the scheduling of weekly, monthly and quarterly practice meetings and design reviews



Front of house (assisting the FOH & Hospitality coordinator)



--welcome all staff and visitors to the office and provide refreshments for meetings

--register and coordinate deliveries and outgoing mail

--manage ad hoc office requests and queries

--perform opening and closing duties for the office as required (working hours 08:30 - 17:00 or 09:30 - 18:00)

--help set up for studio breakfasts, lunches and social events

--assist in the planning and preparation of key all staff office events

--help reinforce culture of all staff leaving spaces tidy and presentable

--cover for other Operational support roles during absence or annual leave



Skills and Experience


--excellent interpersonal and communication skills with a warm, welcoming demeanour

--experience in corporate travel coordination or a similar role managing complex travel arrangements

--experience supporting senior leadership teams with calendar management and administrative tasks

--excellent organisational skills with the ability to prioritise multiple requests and manage competing deadlines

--ability to maintain composure and professionalism during busy periods

--adaptability and willingness to assist across various office functions

--strong organisational skills with excellent attention to detail
