We are looking for a highly skilled, well organised Travel Coordinator, who can organise travel for the UK team, with excellent written and verbal communication skills. The Travel Coordinator will work at the reception area with the flexibility to move about the office occasionally (accessing files/storage, office equipment, computers and other office productivity devices, attending meetings, etc.), as required. You will be arranging meetings and appointments for employees and director levels, ordering and managing office equipment, catering and coffee! We need to ensure that we are fully stocked at all times. The role is an incredible opportunity to work in a fast-paced cutting edge industry.

Your role

  • Arrange travel and accommodation for employees and company guests
  • Serve as a general resource and point of contact for travel-related issues; assist employees with travel-related issues or concerns, such as visa requests
  • Research, negotiate, and secure rate with airlines, car rental companies, and hotels
  • Act to ensure safe and efficient travel operations, in accordance with Company policies and guidelines
  • Receive and respond to incoming travel requests
  • Deliver the professional greeting of clients and visitors, to the highest standards
  • Answering the phone and transferring calls in a professional manner
  • Monitor and manage stationery and refreshment stock levels
  • Managing post
  • General office admin
  • Organising catering for meetings and internal events
  • Liaising with building reception and security team
  • Book visitors and contractors in with main building reception and issue Playtech passes
  • Coordinate the repair and maintenance needs of office, including primary liaison with all office suppliers
  • Booking taxis and couriers as required
  • Working knowledge of Microsoft Office
Administration/events:
  • Organising travel in and out of the UK
  • Assisting staff with TAS travel requests
  • Organising lunch/refreshments for meetings
  • Scanning and filing documents
  • Ordering stationery
  • Dealing with Ad Hoc queries such as office insurance
  • Preparing weekly studio holiday calendar and uploading to SharePoint intranet site
Ongoing Staff Welfare/Office upkeep:
  • Ordering of weekly staff fruit, coffee, etc
  • Ensuring fruit is laid out for staff
  • Organising replacement office equipment such as crockery, cutlery, bins, dishwashers, office chairs and drawers
  • Buying and setting out of staff birthday cakes and organising cards for various occasions
  • Ensuring office space is tidy
Adhering to the Company\'s Operations procedures:
  • Raising and keeping record of purchase orders
  • Ensuring all purchase invoices are sequentially numbered, can be allocated to an approved PO and are signed by the correct manager
  • Posting of purchase invoices and monthly credit card expenditure to SAP
Experience
  • The post holder will possess excellent communication skills
  • Reception experience in a similar environment
  • Excellent attention to detail, a warm and friendly disposition
  • Strong skills in Outlook and Excel
  • An impeccable telephone manner and excellent written skills
Qualifications

Degree education preferred but not essential.
