Palladium is recruiting for UK PACT Programme Coordinator at our London office.
Programme Overview
UK PACT provides countries with the expertise they need to cut emissions quickly and grow their economy sustainably. Running since 2018, it works in partnership with over 20 countries with large and growing emissions or important ecosystems to tackle the most pressing climate issues they face, from power to planning and finance to forests. UK PACT deploys the best local, in-country expertise, as well as leveraging the UK's world class public and private sector experts to deliver impactful and long-lasting change through both short and long-term projects.
Primary Duties and Responsibilities:
The Programme Coordinator will be a key member of the UK PACT Programme Management Unit (PMU) supporting the management of day-to-day external coordination activities as well as the management, monitoring of the programme across up to ten countries of operation.
The Programme Coordinator will support all coordination, management, and monitoring of programme activities and, specifically, will:
Lead in the development and maintenance of the central UK PACT workplan. This includes coordinating for the UK PACT team across all regions in planning and scheduling required outputs
Act as an Information Management System (IMS) Champion for the programme and support the programme and teams with maintaining and using the system and Power BI dashboards for reporting
Organise and attend internal and external meetings, including client meetings. This includes development and management of meeting agendas, taking minutes at meetings and circulating actions;
Plan and manage meetings and events with key stakeholders and country teams, engaging with teams to coordinate the inclusion of appropriate content.
Coordinate inputs for monthly delivery and quarterly progress reports, supporting finalisation and submission to the client
Support the development, management and billing of specific work packages - gathering inputs for the creation and budgeting of new activities from the PMU and country teams.
Prepare presentations to update senior management on the Programme's progress.
Organise and maintain files and records for the UK PACT, including supporting country teams with data storage and migration tasks and ensuring consistency across country teams;
Manage procurement processes and suppliers for programme activities.
Organise small and large events in the UK and abroad in collaboration with country teams and clients, including logistics and travel for teams attending
Reporting:
The position will report and be accountable to the UK PACT Deputy Team Leader. The position will work closely with both the Team Leader and the Deputy Team Leader day-to-day.
This role will be full-time based in our London office with flexible working. The contract may be extended based on performance and/or extension of the UK PACT programme.
Essential Criteria:
1. Programme Coordination & Administration
Demonstrated experience supporting programme or project coordination, ideally in an international development, climate, or donorfunded context.
Strong organisational skills with the ability to manage multiple tasks, deadlines, and stakeholders across regions.
2. Workstream planning & Delivery Support
Experience developing, maintaining, or coordinating programme workplans and tracking outputs across multiple teams or geographies.
Ability to coordinate inputs from diverse teams and ensure timely delivery of activities.
3. Information Management & Reporting
Experience managing information systems, databases, or project management tools (e.g., IMS, dashboards, shared drives).
Ability to support the creation and maintenance of Power BI dashboards, data organisation, and reporting processes.
Proven ability to support monthly and quarterly donor reporting, including consolidating inputs from multiple teams.
4. Meeting & Event Coordination
Strong skills in organising and managing meetings, workshops, and events, including logistics, agendas, minute-taking and follow-up actions.
Ability to coordinate events involving multiple stakeholders, including international travel arrangements.
5. Communication & Stakeholder Engagement
Excellent written and verbal communication skills, including preparing presentations for senior management.
Ability to communicate effectively and confidently with internal teams, clients, and partners.
6. Financial & Procurement Support
Experience supporting budget development, activity costing, or work package management.
Ability to manage procurement processes, liaise with suppliers, and ensure compliance with internal procedures.
7. Information & Data Management
Strong document management skills, including maintaining structured filing systems and supporting data storage and migration for multi-country teams.
High attention to detail and consistency across formats and documentation.
8. Teamwork & Collaboration
Ability to work collaboratively with global teams, including both headquarters and country teams.
Comfortable supporting senior leaders (Team Leader, Deputy Team Leader) in a fast-paced environment.
9. Personal Attributes
Highly organised, proactive, and able to work independently when needed.
Strong problem-solving skills and ability to adapt to changing programme needs.
Excellent time management and ability to prioritise effectively.
10. Other Requirements
Professional proficiency in spoken and written English.
Willingness and ability to travel internationally for events when required.
Based in London with the ability to work hybrid.
Key Competencies:
Exceptional analytical and organisational skills; demonstrated ability to work both independently and within a team, assess priorities, and manage a variety of activities with excellent attention to detail.
Fluency in English: able to write in reports for UK-based team and participate in online meetings.
Excellent cross-cultural communication and interpersonal skills demonstrated by ability to interact professionally with culturally and linguistically diverse staff, clients and consultants.
Proficiency in MS Office Applications (Teams, Word, PowerPoint, Excel)
A high degree of personal resilience, flexibility and ability to adapt to changing circumstances and competing deadlines
Highly collaborative attitude and commitment to close working and open communication with FCDO in post and in the UK, as well as other UK PACT partners.
Financial acumen and the ability to interpret and analyse financial reports is an asset.
Experience working on donor funded programmes and an interest in tackling climate change would be advantageous.
The position will be based in London UK. Unfortunately visa sponsorship is not possible for this role so candidates must have the right to work in the UK to apply.
