Bidvest Noonan is seeking a reliable, organised, and proactive
Ulster
University Receptionist / Car Park Administrator
to join our on-site team. This dual-function role requires a candidate with strong administrative skills and excellent customer service abilities to support day-to-day front desk operations and oversee the effective management of the campus car park system. The ideal candidate is safety-conscious, detail-oriented, and capable of handling multiple priorities in a dynamic university environment.
Key Responsibilities:
Reception Duties
Greet and assist all visitors, staff, and students professionally and efficiently
Handle telephone, email, and in-person enquiries, ensuring queries are resolved promptly
Maintain a welcoming and organised reception area
Manage visitor logs, passes, and daily check-ins in line with campus security protocols
Support university events and activities with reception-based coordination
Car Park Administration
Oversee day-to-day operations of university car parking systems
Process parking permit applications, renewals, and staff/student queries
Maintain accurate and up-to-date records of permit holders and car park usage
Liaise with enforcement partners, security, and contractors as required
Monitor compliance with university parking regulations
Cash handling
General Administration
Complete full site office administration including typing letters, compiling reports, and maintaining files
Manage employee records and training documentation in line with company policy
Handle supplier queries and process car park-related orders
Support the operations team with data input and service tracking
Ensure all communications align with Bidvest Noonan's ethos and standards
Experience & Skills Required
Previous experience in an administrative or receptionist role (experience in facilities or car park management desirable)
Excellent customer service and interpersonal skills
Strong organisational ability with a proactive approach to resolving issues
Ability to multitask and prioritise effectively in a fast-paced environment
Proficient in Microsoft Office (Outlook, Word, Excel)
Willingness to learn internal systems and processes
High attention to detail and commitment to confidentiality and data accuracy
