Base:

St Matthews Healthcare (the post holder may be required to visit other sites to meet service needs)

Job Summary:



The post holder will be responsible for the Administration and Reception for the different sites of the Company, supporting staff and clients in all aspects, providing a comprehensive Administration service.

The post holder will function as a first point of contract for all staff to the Human Resources Team.

The post holder will provide comprehensive support on all Administrations and auditing/accurately recording of personnel files and systems (i.e., Radar, HR Trackers).

The post holder will have responsibility for always providing a professional and friendly service.

Key Responsibilities of the Role::



HR Administration & Onboarding



Coordinate HR systems and provide support throughout the employment lifecycle. Maintain accurate employee records for full-time, part-time, and bank staff. Monitor sickness, probation, and leave trackers; manage resignations and contractual changes. Administer onboarding processes including contracts, pre-employment checks, and inductions. Assist in formal HR meetings, investigations, and grievance procedures. Provide HR reports and assist with HR projects as required.

Recruitment & Payroll Support



Support recruitment processes, including distributing application forms and submitting employee details. Ensure timely submission of payroll instructions and maintain payroll-related documentation.

Reception & Front of House



Manage telephone and face-to-face enquiries professionally. Schedule appointments and coordinate transport allocation. Maintain reception area, stock, and administrative support for visitors and service users.

Finance & Service User Affairs



Manage patient money systems, petty cash, and financial reconciliations.

General Administration & Office Support



Provide secretarial and administrative support to Directors and Managers. Organise meetings, maintain records, and manage correspondence. Support company projects, marketing, and communications as required. Maintain document control systems, IT databases, and office supplies.

Quality, Governance & Health & Safety



Participate in personal development and mandatory training. Adhere to company policies, confidentiality standards, and Health & Safety procedures. Report incidents and support risk management practices.
