Hours: Monday - Friday, 40 hours per week

Paul Rigby Ltd is seeking an experienced Vehicle Administrator to join our team at Polestar Erdington. As a premium car dealer group renowned for excellence, we take pride in delivering the highest quality standards to our valued customers. Due to continued growth, we are looking for a passionate individual with exceptional attention to detail, a proven track record of providing outstanding service, and a commitment to excellence. The successful candidate will play a key role in ensuring that all paperwork and compliance requirements are met efficiently.

Responsibilities:

Complete all relevant documentation for vehicle purchases. Maintain accurate deal files with proper filing of all documents. Prepare and finalise all sales invoices; verify against finance documents as required. Ensure accuracy of handover documents, part exchange details, and warranty documentation. Ensure that the sales teams follow administration guidelines and all paperwork is completed correctly. Maintain an up-to-date Sales DOC (Daily Operating Control) spreadsheet. Update V5C documents for all sold vehicles. Administer vehicle warranties effectively. Conduct due diligence for vehicle unit funding and prepare for routine audits. Process vehicle purchase orders and create relevant job cards for aftersales purposes. Invoice aftersales work to the correct internal departments. Place orders for vehicle parts and accessories via email.
The Ideal Candidate:

Has excellent interpersonal skills, with energy and enthusiasm. Demonstrates a high level of attention to detail. Maintains a positive attitude and a logical, systematic approach to work. Shows openness, honesty, and trustworthiness. Manages time effectively and takes personal responsibility for tasks. Possesses a great telephone manner and at least 1 year of experience in a similar role. Has strong communication and active listening skills. Experience with CRM systems is advantageous.
