About the Role
We are seeking an organised, reliable, and customer-focused
Vendor Support & Auction Administrator
to support the day-to-day operation of our auction business. This role combines
vendor support, auction administration, and front-of-house responsibilities
, playing a key part in ensuring a smooth and professional experience for vendors, buyers, and internal teams.

Key Responsibilities
Act as a key point of contact for vendors, buyers, and drivers, providing professional support via
counter service, phone calls, and email communication
.
Support vendors throughout the
pre-sale and post-sale process
, ensuring queries are handled accurately, promptly, and in line with company procedures.
Assist with the administration of
vehicle listings
, ensuring all vehicle details, reserve prices, images, and inspection reports are accurate and complete.
Carry out
auction administration and clerking
, including catalogue checks, live auction system updates, and sale-day support (including working on the rostrum when required).
Prepare, check, and finalise
catalogues and entry forms
ahead of sale days to ensure accuracy and readiness.
Complete general
administrative duties
, including data entry, document filing, system updates, and record maintenance.
Maintain accurate records of vendor communications, agreements, and sales activity.
Liaise with internal departments including Vendor Support, Buyer Services, Transport, and Operations to ensure smooth auction processes.
Identify issues or discrepancies and escalate them appropriately to support timely resolution.
Work towards increased responsibility within
Vendor Support
as part of a structured training and progression plan.
Skills & Experience Required
Experience in an administrative, customer service, or support role.
Strong organisational skills with excellent attention to detail.
Confident handling phone calls and face-to-face interactions.
Clear written and verbal communication skills.
Ability to remain
calm under pressure
, particularly during peak auction periods or live sale environments.
High level of
discretion
when handling confidential Vendor and Buyer information, in line with
GDPR requirements
.
Willingness to learn and understand
auction industry terminology, systems, and processes
.
Ability to work effectively in a fast-paced, deadline-driven environment.
Competent IT skills, including Microsoft Office and internal systems.
A positive, flexible, and team-focused attitude.
Desirable (but not essential)
Experience within an auction or motor trade environment.
Previous experience with auction clerking or sale-day administration.
