JOB TITLE: Venue Hire Assistant - Sports Facilities

DEPARTMENT: CF10 Retail

PURPOSE OF JOB: To Coordinate in the smooth running of the sports facilities areas of the Commercial Department for internal and external bookings.

Handling of enquiries, confirmations and co-coordinating confirmed events.

HOURS OF WORK: Minimum of 20 hours per week in 4 shifts across 7 days (the business does run at various hours Monday to Friday as well as the weekend). This vacancy is for weekday afternoons into evenings (4pm-9.30pm)

Additional hours may be required in accordance with the demands of the business.

ACCOUNTABILITY

Responsibility for sports facilities bookings and the safe provision of internal and external sports activities. To work alongside the wider venue hire team to deliver an excellent client experience.

MAIN RESPONSIBILITIES

1. To help deliver the department's sports venue hire and sports facilities management including locking and unlocking duties, setting up sports equipment, greeting external and internal customers and general maintenance and upkeep of the area.

2. To be the liaison with sports teams (internal and external) and to facilitate these bookings. Linking with the Venue Hire Coordinators and Invoicing team to ensure that the booking process is facilitated correctly from start to finish.

3. To support community engagement by building a rapport and relationship with local sports teams and facilities users.

4. To contribute to a culture of continuous improvement.

5. To support and participate in initiatives to ensure a safe and healthy environment for all the sports facilities

6. Provide support to facilities users with queries and requests, and to ensure that facilities are kept clean and tidy for facilities users. To be an active part of the Canal Park team in delivering high quality and standards across the week.

7. To carry out other duties that are required within the role as it evolves within the development of the organisation.

Specific Roles



Working as directed by the Events Coordinator to help provide a great sports facilities hire experience for clients and carry out day to day maintenance of the facilities including cleaning, pitch maintenance, litter and refuse control and erecting sports equipment.

1. To form part of the CF10 Retail Venue Hire team and to liaise with both internal and external clients as well as the Venue Hire Coordinators and the Canal Park team.

2. To act as a key holder to the sports facilities and to unlock and lock sites at the beginning and end of scheduled bookings in accordance with the bookings timetable

3. Setting and un-setting of sports specific equipment required for each individual booking. To aid in the erecting and lowering of football and rugby posts on the sports pitch

4. Greet bookings clients and help to facilitate their booking by responding to their requests

5. Undertake litter clearance and any minor cleaning required to help maintain the sports facilities to a high standard throughout the day including pitch maintenance and court cleaning.

6. To monitor usage of the facilities and to report any concerns or misuse to your line manager

7. Help to build community relationships with local sports teams and community leaders

8. To carry out cleaning duties on the changing room facilities throughout the day and to report any larger maintenance issues or cleaning concerns to the Estates team promptly

9. To assist in maintaining the safety of external and internal users of the sports facilities by monitoring activity in the facilities

10. To be aware of and to comply with all requirements of the Health and Safety legislation relating to the duties and to the sports facilities and to help in the implementation of such practices and procedures that maintain compliance.

11. To liaise with the Venue Hire team around bookings, help facilitate requests and to record any changes to planned usage times.

12. To be responsible for any storage facilities such that work areas are kept in a tidy and professional manner.

13. To report any situation likely to affect the health and safety of persons on site and, where possible, make safe and isolate hazards within Health and Safety guidelines and to report defects in buildings, furniture, fittings, and plant to their line manager

14. Be prepared to drive/use mobile mechanical sports facilities maintenance equipment (training will be given) as required

Working Week



The normal working hours for the week will be between Monday and Sundays in shift patterns including early mornings and late evenings to meet the operational needs of the company.

Every will be subject to review:



1. Within six months of appointment.

2. Thereafter on an annual basis.

3. As a result of agreed staff development/personal development needs.

4. As a result of team/operational requirements or strategy changes.

PERSON SPECIFICATION AND JOB COMPETENCIES

1.1 Qualifications in sports facilities management preferred but not essential

1.2 First Aid training is preferred but not essential

1.3. Previous Experience and Job Knowledge preferred but not essential

Job Types: Part-time, Permanent

Pay: 12.66 per hour
