The role



Bookspeed has a vacancy for an energetic and efficient individual to join its warehouse team. The Warehouse Administrative Assistant role is one that will help increase the capacity within the team as we continue to grow.

The role is varied and will include both desk-based work and physical warehouse work. As the company grows and our systems improve, it is expected that this role, and you, will develop and more of your time will be spent on administrative tasks. Full training on our systems and processes will be given, but warehouse experience would be an advantage.

What you will be doing



You will be working in a team that flexes from 24-30 depending on seasonal workflows. Your initial responsibilities will include:

Supporting the smooth running of the goods-in department by: Prepping receipt lines and repairing broken receipt lines. Doing stock price checks prior to stock arriving, helping speed up the goods-in process. Helping to keep goods flowing out of the warehouse by: Booking in deliveries to customers; this varies from calling or emailing customers direct, to using various online portals and booking systems. Uploading export details onto our courier's portal, which is required when we send Pallets to Eire. Keeping our inventory as accurate as possible, including: Stock amendments, which include investigating missing stock and reporting it to a line manager. Stock returns administration, in which you will process the returns on our system and upload onto the online "Batch" portal. Weekly checks on stock variants so you can update our system and move new stock into the correct picking bins. Amending our inventory accurately to account for damaged stock each day.
During any periods when there is not enough administrative work to fill the full day, you will work alongside the rest of the warehouse team to ensure that stock is:

Received, shelved, and recorded quickly and accurately. Kept tidy and organised. Picked and packed securely to send out to our customers to ensure the best experience when they receive a delivery from us. Peak time shifts - In order to maximise the space in the main warehouse we may be spreading the workload throughout a longer day by operating a shift system for at least the last three months of the year. This will not mean longer working hours, but you will be required to either start and finish earlier or later. You may occasionally be required to work on a Saturday, in which case you will receive a day off during the week as appropriate.

What we're looking for



Experience as an administrator. Excellent knowledge of Microsoft applications. Good problem-solving skills with a keen eye for detail. An ability to work and communicate as part of a team. That you are a quick-learner and able to use your own initiative

Working pattern



This position is full-time, 37.5 hours per week on a permanent basis. Working hours are Monday to Friday; from 8am to 4pm or 9am to 5pm but the warehouse will be open for longer hours than that on a shift system depending on the season. Full-time staff have two paid breaks of 15 minutes each and an unpaid break of 30 minutes at lunch-time. Overtime is sometimes available but cannot be guaranteed and is paid at time and half for any hours worked beyond your contracted weekly hours.
