Our client, a highly regarded wealth management firm, is seeking a Wealth Management Administrator to join their Financial Planning team in Edinburgh. This is a varied and rewarding role, providing administrative support to Advisers and Paraplanners to ensure clients receive an outstanding level of service.
The successful candidate will be proactive, organised, and capable of managing a broad range of tasks in a fast-paced environment. You will play a key role in preparing documentation, maintaining accurate client records, and supporting the delivery of advice reports, while building strong relationships with colleagues and clients.
Skills/Experience:

  • Experience working in a Financial Planning / Wealth Management firm.
  • Working towards the CII Level 4 Diploma in Financial Planning (desirable).
  • Excellent attention to detail and strong organisational skill
  • Proactive approach with the ability to prioritise competing tasks
  • Strong communication skills, with a confident telephone manner
  • Team-oriented mindset, working collaboratively to achieve results
  • Ability to work under pressure and meet deadlines
  • Professional, approachable, and client-focused attitude
  • Experience using Microsoft Office applications
Core Responsibilities:
  • Compile and prepare documentation for Planners in advance of client meetings, including requesting valuations and policy details from providers.
  • Request, track and follow up on policy information with product providers and third parties via email, telephone, and online platforms.
  • Work alongside Paraplanners to ensure they have the necessary information and documentation to produce accurate and timely advice reports.
  • Liaise with the central Financial Planning Administration team to coordinate new business submissions, ongoing cases, and ensure smooth progression of client instructions.
  • Take ownership of the post-sale process for local clients, ensuring all actions are completed accurately and within agreed timescales.
  • Communicate directly with clients by letter, email, and telephone, providing clear updates and handling queries professionally.
  • Draft and pre-complete forms and letters for client correspondence, and maintain accurate, up-to-date client records in line with company policy.
  • Ensure all tasks and workflows are completed in accordance with company compliance processes, documentation requirements, and regulatory standards.
  • Work closely with investment managers and financial planners to coordinate annual review meetings for joint financial planning and investment management clients.
  • Build and maintain effective working relationships with clients, colleagues, and third parties, acting as a reliable point of contact and ensuring a seamless client experience.
  • Provide flexible support to the wider team by completing additional administrative tasks as required.
