The Workplace Coordinator plays a central role in ensuring the seamless operation and administration of the workplace environment on the client account.
This position focuses on enhancing the efficiency of back-office functions while supporting a positive, professional experience for both employees and visitors.
Working collaboratively with multiple teams, the Coordinator upholds the core values of both ISS and the client, consistently delivering high standards of service and contributing to a well-managed, responsive workplace.
Key Responsibilities
Provide comprehensive administrative support to the Workplace Manager and teams
Maintain accurate records, reports and workplace documentation in line with policies
Coordinate cleaning, catering and maintenance services to ensure seamless operations
Monitor and update workplace systems, generating reports on occupancy, usage and performance
Serve as the first point of contact for workplace queries from employees, contractors and suppliers
Assist with budget tracking, invoice processing and expense reconciliation
Support health, safety and sustainability initiatives by maintaining audit records and ensuring compliance
Professional and Personal Competencies/Qualifications
Proven coordination or administrative experience, ideally in facilities or workplace management
Proficient in Microsoft Office and workplace management systems
Excellent organisational and multitasking abilities under competing priorities
Strong written and verbal communication skills
Familiarity with health and safety regulations and reporting processes
Keen attention to detail, ensuring accuracy and compliance
Problem-solving mindset with the ability to collaborate and improve processes
