Boden Group deliver facilities maintenance services and project works to the Ministry of Defence and commercial clients at multiple sites in the South West and South East.

We're looking for a highly organised and proactive Works Coordinator to join our team. This role is key to keeping our operations running smoothly, ensuring excellent service delivery to our clients and supporting our engineers

Main duties of the role:



Be the first point of contact for client enquiries, providing prompt and professional responses. Log, track and manage work orders in our CAFM system. Schedule and coordinate engineers' diaries to meet client requirements and SLAs, prioritising in-house labour before engaging supply chain partners. Monitor ongoing works to ensure compliance with statutory, regulatory and contractual obligations. Order and manage parts, equipment and materials in line with job packs and HFM requirements. Facilitate access, permits and authorisations to enable safe and timely completion of works. Liaise with Supervisors to schedule and complete remedial works on time. Coordinate supply chain partners to deliver PPM and reactive tasks within deadlines. Track job progress, handle deferrals and raise Early Warning Notices. Produce accurate and timely KPI reports, supporting management with monthly reporting and data verification. Work with Finance to ensure purchase orders and invoices are processed accurately, securing value for money through product/price matching. Receive, verify and record incoming materials in line with purchase orders and Supervisor approval. Maintain up-to-date spreadsheets and records to track invoice queries and job status. Support Supervisors and other Coordinators during periods of absence or high workload to maintain service levels. Provide general administrative support to the Facilities Management team, including document control and client reporting.

Required Skills and Qualifications:



Essential

Strong organisational and administrative skills with excellent attention to detail. Experience in coordinating works or scheduling within a service delivery environment. Proficient in Microsoft Office applications and comfortable using CAFM or similar systems. Strong communication skills, both written and verbal, with the ability to liaise effectively with clients and engineers. Ability to prioritise tasks, manage competing deadlines, and work under pressure. A proactive approach to problem-solving and a willingness to take ownership of tasks.
Desirable:

Previous experience within facilities management or a maintenance environment. Knowledge of CAFM systems and service level agreements. Experience in producing client-facing reports. Familiarity with procurement processes and raising purchase orders.
