Job Description

Overview



Lead site-based role with oversight of daily office operations & standards. To maintain exceptional workplace standards through proactive office and facilities management, ensuring compliance with QHSE policies, managing contractors, and taking the lead in events and building operations.

Office Management & Presentation:



oConduct daily floor walks to uphold cleanliness, presentation, and safety.

oReport and resolve faults via the Client's CAFM system (Concept) and close them in line with SLAs.

oCarry out regular floor & meeting room checks to ensure standards are being maintained.

oMonitor AV, environmental conditions, and maintenance needs.

oAssist with uploading TriplePlay content as required.

oSupport with reception services during breaks, ensuring a seamless and professional arrival experience for guests.

oAny other reasonable requests by management.

Contractor Management:



oMaintain contractor access permits and ensure inductions are completed.

oStore and update contractor documentation as required.

oBe the point of contact for the mobile engineer during their weekly visit and advise them of any tasks which require their attention.

oFlexibility required for ad hoc out of hours contractor works.

Event Coordination:



oLead on coordinating workplace events in the Manchester office, with support from the Events and Support Coordinator.

oAssist with registering event attendees

oLiaise with other Workspace stakeholders such as catering, cleaning, security, and building management.

oOversee room setup/clear down and troubleshoot event-related issues.

oFlexibility required for ad hoc events out of hours - time back in lieu / or paid.

Mail & Logistics:



oHandle incoming/outgoing mail and booking couriers.

oManage the booking of any large deliveries which require the loading bay & goods lift.

oManage internal equipment / furniture moves.

QHSE:



oLead on-site H&S compliance - audits, hazard & accident / incident reporting, maintaining the site H&S File.

oFollow all Security and Health & Safety procedures and processes

oConduct monthly checks (first aid kits, fire extinguishers, evacuation chairs, etc.).

oCarry out quarterly H&S workplace inspections & attend safety meetings.

oEnsure appropriate use and storage of PPE and OH equipment.

oLead in emergencies - First Aider/ Fire Marshal / Evacuation Chair Operator

oSupport with external audits - such as environmental assessments

oRead the Toolbox talks, AZ Rules, QHSE bulletins and updates sent through regularly

Team & Stakeholder Coordination:



oBe a point of escalation for Workspace -related issues on site.

oLiaise with the building management team for wider building issues and services.oRelay updates to key stakeholders

oLiaise with the Regional FM regarding key issues and concerns.

Administration & Support:



oManage the Workspace email account - ensuring that all completed emails are promptly filed.

oOversee all tasks in the Concept system and follow up for updates.

oArrange orders for stationery, kitchen stock supplies, sanitary products, etc.

oOversee allocation and maintenance of lockers and storage cabinet keys.

oCoordinate break cover with the FOH teamoParticipate in team, stakeholder & CBRE meetings

oCreate and update CBRE SOPs as required.

oHave regular catch ups with the Regional FM

oProvide monthly data for the Client report

Job Type: Full-time

Pay: 30,000.00-33,000.00 per year
