The Role:
The role will focus on supporting the day-to-day activity of the academic department to ensure the effective planning and organising of placements for medical students and clinical attachments for doctors.
Responsibilities include:
Provide an accurate and appropriate administration service to provide support to the medical education team with the organisation and facilitation of medical student placements, teaching sessions and timetables, together with clinical attachments for overseas doctors.
Act as the first point of contact for clinical teams and student queries, responding within a timely manner to ensure that issues and queries are resolved as they arise.
To ensure the smooth running of the medical placements; arranging the timetable for student placements and overseeing student activities whilst on placement.
Conduct student induction sessions, site tours and IT familiarisation sessions to ensure that students are appropriately prepared for clinical experience on the wards.
Ensure that appropriate physical resources, such as rooms, audio-visual facilities etc. are secured for all scheduled teaching sessions.
Maintain appropriate and accurate information systems to support student placements, teaching sessions and timetables.
Liaise with external organisations such as hotels and Universities.
To attend regular departmental meetings with the Academic Centre Manager and Academic Centre Administrator.
To be part of the Academic administration team to provide cover/administrative support to the members of the Academic Department.
Work in line with St Andrew's Healthcare policies and procedures, including confidentiality and security of data, at all times and maintain a safe and healthy work environment.
Undertake any other reasonable duties necessary to ensure the smooth running of the hospital.
About you:
We are looking for an experienced administrator having worked within a customer facing role withstrong knowledge and proficiency in the use of Microsoft Teams, Outlook, especially calendars and Word. You will be a confident communicator with excellent written communication skills and a proactive member of our administration team. You will be educated to A-Level standard and possess a keen eye for detail and the ability to think on your feet to resolve problems.
You will have the ability to work in a busy office environment responding quickly to face to face requests and queries from students as well as via email and over the phone and also work both collaboratively with team members and independently, managing your own time and completing tasks to tight deadlines.
