Process customer invoices for all completed truck and trailer jobs, ensuring accuracy and timely billing.
Verify labour hours, mechanic timesheets, job card details and parts usage before raising invoices.
Ensure all parts, consumables, subcontractor charges and diagnostic fees are correctly allocated to each job.
Maintain accurate records of invoices raised, including those awaiting PO numbers from customers.
Issue, track and record credit notes where required (pricing errors, duplicated jobs, warranty outcomes etc.).
Support the workshop and service teams with job card queries and administrative requirements.
Purchase Orders & Customer Communication
Request and chase fleet customers for missing or overdue PO numbers prior to invoicing.
Ensure all customer-specific PO and invoicing requirements (portal uploads, cost breakdowns, labour caps, defect references) are followed.
Handle incoming calls and emails regarding invoices, PO queries and cost clarifications.
Liaise professionally with transport managers, fleet supervisors and accounts departments to resolve any billing discrepancies.
Aged Debt & Compliance
Monitor aged debt specifically related to missing POs and escalate overdue items promptly.
Cross-check completed jobs daily to ensure nothing is missed or delayed.
Flag any inconsistencies, warranty items, price discrepancies or job queries to the workshop controller.
Contribute to improving invoicing accuracy, workflow efficiency and job card processes.
Skills & Experience Required
Previous experience in invoicing, accounts administration or credit control, ideally within a commercial vehicle, HGV, trailer or automotive repair business.
Strong understanding of workshop job cards, labour allocation and parts usage (preferred).
Excellent organisation skills and high attention to detail.
Confident communicator -- able to chase PO numbers professionally and speak with transport/fleet customers.
Strong IT skills, including Word, Excel and accounting systems (Sage experience beneficial).
Ability to work in a fast-paced workshop/admin environment with competing priorities.
Proactive approach to identifying errors, inefficiencies or missing information and resolving them quickly.
