Accounts Payable Assistant

Based at Sega HQ, Brentford, West London.

Hybrid - 2 days per week in the office, 3 days flexible.

As Accounts Payable Assistant, you will be reporting to the Account Payable Supervisor, supporting the wider finance function, and business. Your main focus will be to implement Optical Character Recognition (\xe2\x80\x9cOCR\xe2\x80\x9d) and to ensure we adopt \xe2\x80\x98best practice\xe2\x80\x99 within the \xe2\x80\x98Procure-to-Pay\xe2\x80\x99 (P2P) process within the accounts payable function.

Why You:


You have some experience within an Accounts Payable or Accounting role, having worked with an ERP system such as Oracle or an equivalent system. Essentially, you are a strong collaborator with excellent relationship-building skills and are capable of inspiring trust with various cross-functional business partners to achieve objectives.

Responsibilities include:

  • Management of the Account Payable Inbox.
  • Maintain a system-generated log of all invoices in Oracle.
  • Process, match and validate supplier invoices, including manufacturing and \xe2\x80\x98three-way matching\xe2\x80\x99 with purchase orders within Oracle for multiple companies and multiple currencies.
  • Scanning, matching, and processing invoices through the \xe2\x80\x98SEGA Hub\xe2\x80\x99.
  • Processing of employee expense claims through Concur.
  • Follow up invoice queries with internal and external stakeholders.
  • Assist the Accounts Payable Supervisor with the preparation of weekly domestic and international payment runs.
  • Preparation of remittances following weekly payment run.
  • Administering the new supplier onboarding process and amendments to existing supplier details, ensuring signed SEGA T&Cs and/or working with the Legal Department where appropriate. Working closely with the relevant cost centres, Finance, and other teams to gather, collect and enter the necessary information into Oracle.
  • Create scanning templates for all key suppliers ensuring key fields are correctly mapped to Oracle.
  • Carry out a full supplier \xe2\x80\x98audit\xe2\x80\x99 validating the integrity of the supplier master data files, including bank details, addresses, and key contacts.
  • Processing and matching supplier invoices with purchase orders within Oracle for Sega Europe Limited and three of its UK subsidiary undertakings.

Knowledge, Skills & Experience:

  • Experience with OCR/ scanning solutions.
  • Keen attention to detail and methodical approach to work.
  • A self-motivated individual with good organisational skills able to manage multiple priorities simultaneously.
  • Able to work with some direction from Management, but happy to drive day to day without supervision.
  • Ability to cut through issues, identify route causes, and generate solutions to eliminate future occurrences.
