Rossdales Veterinary Surgeons is seeking to appoint an Accounts Secretary to join our Newmarket accounts team, based at our Equine Practice in the centre of Newmarket. Full-time and part-time hours will be considered.
The successful applicant will be responsible for providing an accurate and efficient accounts secretarial function, helping to ensure the smooth running of the practice.
The role will suit a reliable and highly motivated individual with outstanding attention to detail who is looking for a rewarding and challenging position.
Applicants should have:
Previous accounts experience is essential and experience of working in the equine industry is desirable
Excellent client management skills
A high level of accuracy
The ability to remain calm under pressure
Excellent communication skills, both written and spoken
The ability to deal with situations of a sensitive and confidential nature
Teamwork skills
Competence with IT and/or practice management systems.
The main aspects of this role include (but are not limited to):
Liaising with vets to obtain various booking in forms.
Inputting/matching booking details to correct client and horse on our Practice Management software.
Liaising with our laboratory regarding samples and laboratory codes to collate with vets' bookings.
Registering accurately both client and horse details as appropriate, ensuring information for both is complete.
Contacting studs, racing yards, stables and individual clients to obtain correct and full ownership details.
Providing quotes and costings for clients and vets carrying out work.
Processing payments from clients via phone or in person using the credit card machine.
Preparing and raising invoices, ensuring that they are accurate and complete.
Emailing invoices to clients and sending out hard copies where appropriate.
Allocating pharmacy bookings as appropriate.
Taking and dealing with incoming telephone calls and redirecting where necessary.
Collecting, opening and distributing morning post and internal post. Franking post and taking to the Post Office, as required.
Helping to ensure the orderly and efficient running of the Accounts Department.
Helping to ensure adequate cover within the department at all times.
Any other duties reasonably requested by the Practice.
