Our Supported living services help people to live as independently as possible. You will be responsible delivering support for people to live in a safe, excellent quality and happy home.

What

This is a crucial role within our supported living services team. Our Supported living services help people to live as independently as possible. You will be responsible for providing effective, efficient and timely administrative support within the Service.

You will:

Sorting and delivery of incoming mail (including electronic mail), collating and despatching outgoing mail. Act as the 'front of house' presence for our office ensuring that it a friendly and welcoming place for staff, visitors, services users, families and carers. Carry out all typing as requested, (mostly copy typing), such as letters, reports and other documents Complete accurate and timely contractual returns for local Authorities including reconciliation of hours worked. Record Agency hours for all services across region. Undertake the administrative processes for the region in relation to Recruitment procedure ensuring that HR is regularly updated as to progress of candidates. Updating and revising procedures as advised by HR, DBS etc. Make appointments, keep diaries, organise couriers & taxis and order supplies as required. Convene and prepare for meetings and attend to take minutes, when requested. Liaise with all levels of staff and with outside agencies ensuring at all times a fully professional approach is maintained. Answer the telephone, deal with enquiries and ensure that all messages are taken down accurately and dealt with appropriately. Familiarity with all office equipment procedures. Maintain up-to-date filing systems, both computerised and manual, ensuring the integrity of information stored. Overview of H&S stats, ensure checks carried out. Ordering of stationery and other relevant items Processing invoices for payment Collating charges for Service Users on personal budgets Book training and update matrix Completion of relevant spreadsheets Appointeeship accountability To perform all duties with due regard to the requirements of current Health and Safety at Work regulations. To perform all duties in accordance with the policies and procedures of Possabilities To maintain records, which could include, and details of room hire, functions etc. To prepare and keep up to date information about the service. To assist in the reconciliation of petty cash and any other cash income and prepare for banking. Maintain a record of cash and cheques received. To deliver a customer focussed service by responding pro-actively to requests for advice, guidance and support in an efficient, effective and timely manner. To organise and prioritise own workload to ensure that deadlines are achieved and core services are maintained. To attend meetings as may be required.

Always act in the best interests of PossAbilities Undertake any other duties and tasks as may be reasonably required
