We are seeking a highly organised, proactive, and reliable
Office Assistant / PA
to support the Manager with day?to?day administrative tasks, coordination, and communication.
This role is ideal for someone who thrives in a busy environment, can multitask confidently, and enjoys being the go?to person who keeps everything running smoothly.
Key ResponsibilitiesAdministrative Support
Manage the Manager's diary, appointments, and daily schedule.
Organise meetings, prepare agendas, take minutes, and follow up on action points.
Handle incoming emails, calls, and correspondence on behalf of the Manager.
Prepare reports, spreadsheets, presentations, and documentation as required.
Maintain accurate filing systems (digital and physical).
Assist with HR admin such as staff records, onboarding paperwork, and training coordination.
Process invoices, expenses, and basic financial administration.
Personal Assistant Duties
Act as the first point of contact for internal and external stakeholders.
Prioritise and manage the Manager's workload, ensuring deadlines are met.
Arrange travel, accommodation, and logistics when required.
Support with confidential matters and maintain strict discretion at all times.
Provide general organisational support to ensure the Manager can focus on strategic tasks.
Office & Team Coordination
Support daily office operations and ensure smooth workflow.
Order supplies, manage office equipment, and maintain a tidy working environment.
Assist with internal communication and staff announcements.
Help coordinate team rotas, meetings, and staff events.
Liaise with suppliers, contractors, and service providers.
Customer & Client Support (if applicable)
Respond to customer queries via phone or email in a professional manner.
Assist with booking systems, customer updates, and service coordination.
Support the Manager in maintaining high customer?service standards.
Skills & Experience Required
Strong administrative experience.
Excellent written and verbal communication skills.
Highly organised with strong attention to detail.
Confident using Microsoft Office, email platforms, and basic spreadsheets.
Ability to multitask and work under pressure.
Professional, discreet, and trustworthy.
Positive attitude and willingness to learn.
Ability to work independently and as part of a team.
