To manage the administration tasks required to run Lavenham Pre-School
To assist in the financial running of Lavenham Pre-school in close liaison with the Manager and Senior Administrator
To liaise with parents, staff, Trustees and outside organisations as necessary
Financial Responsibilities
Input purchase invoices on to Clearbooks
Agree payment of suppliers and expenses and process payments
Create and issue monthly fee invoices on Clearbooks
Record receipts against invoices and advise of any old, unpaid invoices
Provide staff time sheets to the Manager and process on a weekly basis
Assist with the preparation of payroll information to send to accountant
Identify and process all funding income
Check bank statements and process all other receipts and payments
Reconcile bank statement to Clearbooks each time you process entries
Maintain financial records filing system
Liaise with Senior Administrator as necessary
Any other financial tasks as necessary
Admin Responsibilities
Deal with telephone and email queries in a professional and timely manner
Process all DBS checks for staff and Trustees as necessary
Maintain Excel database for all children, parents, staff and Trustees
Update staff training log as necessary
Ensure the contacts in the email system are up to date
Maintain children and staff physical filing system
Create registers and signing in sheets for all sessions
Ensure all databases are updated for any new admissions to the Pre-school
Carry out any administration tasks as required for the Manager, staff or Trustees

Hours of working
6.0 hours per week for 38 weeks per year, to be carried out in person at Lavenham Pre-school over 2 mornings per week.
Rate of pay dependant on experience.
All appointments are subject to safer recruitment requirements to ensure the safeguarding of children and young people. All positions will involve appropriate DBS checks and clearances.
