Busy Administration Department
We're on the lookout for a proactive and enthusiastic Office Administrator to join our busy administration team. This role demands excellent organisational and communication skills, a sharp eye for detail, and the ability to work both independently and as part of a team.
Key Responsibilities:
Reception and Communication:
Answering and directing telephone calls efficiently and professionally, demonstrating strong communication skills.
Meeting and greeting visitors at reception in a welcoming and helpful manner, ensuring a high standard of customer service.
Managing incoming post, including opening, distributing, and organising it effectively.
Sharing information with relevant staff members using various methods, including internal communication apps and social media platforms.
Providing caring and supportive administrative assistance to our members (autistic adults) for their queries in person and over the phone, including using our internal app (full training will be provided).
Office Administration:
Maintaining tidy and well-organised office areas.
Carrying out detailed office administration tasks such as updating documents, spreadsheets, and forms using Google Suite (Google Sheets, Google Docs, Google Forms).
Managing and organising electronic documents and files within Google Drive, ensuring accurate record-keeping.
Updating website details and managing the uploading and downloading of data.
Ensuring that stocks of stationery and other shared resources are kept replenished.
Support for Service Areas:
Providing administrative support alongside other admin staff to all service areas, following established procedures (operating on a 4-weekly cycle) and effectively managing workload and prioritising tasks.
Completing weekly and daily administrative tasks as required, demonstrating strong organisational skills and the ability to meet deadlines.
Undertaking basic housekeeping tasks to maintain the cleanliness of the building, particularly areas frequently used by our members.
Team Collaboration and Flexibility:
Working effectively in partnership with the existing administration team.
Demonstrating the ability to work independently and manage your own workload effectively, including multitasking.
Showing willingness and ability to step into other administrative roles as needed to cover staff holidays, sickness, or other absences.
Occasional lone working will be required to cover staff leave, external meetings, and training.
Maintaining a proactive attitude and a keenness to learn new skills and take on new responsibilities.
Managerial Support:
Supporting the Senior Management team and Service Managers with their administrative tasks under the guidance of the Office Supervisor, including diary management, scheduling appointments, and potentially arranging travel and accommodation.
Assisting with basic IT troubleshooting.
Accurately recording notes during meetings (minute-taking skills).
Technical Proficiency:
Demonstrated experience using Google Suite, including creating, managing, and updating spreadsheets, documents, and forms.
Reporting and Problem Solving:
Reporting any problems or issues promptly to the Office Supervisor, Team Managers, or other senior managers.
Demonstrating problem-solving skills to address administrative challenges.
Personal Attributes:
Competent and hardworking with a strong work ethic.
Eagerness to learn new skills and contribute to the team's success.
Essential Criteria:
Qualifications & Training:
Educated to GCSE level or equivalent qualifications/experience.
GCSE (or equivalent) in Maths and English.
Previous Experience:
Previous experience working in an office or customer-service based role.
Personal Attributes:
Competent and hardworking with a strong work ethic.
Eagerness to learn new skills and contribute to the team's success.
Desirable Criteria:
Driving Licence: While not essential for the main duties of the role, the ability to drive and transport stock occasionally would be advantageous.
Awareness of Neurodiversity: An understanding of neurodiverse conditions, particularly autism, would be beneficial, reflecting our commitment to an inclusive team for both staff and members. Please note that comprehensive training will be provided.
