We are looking for a proactive, detail-oriented Operations & Admin Assistant with a strong foundation in finance to support daily business operations across finance, HR, and general office functions.
This is a multi-functional and execution-focused role designed for someone who enjoys structured tasks, is confident working with financial data, and can follow established processes across departments. You will work closely with our internal team and external advisors -- while you're not expected to be a qualified accountant, a solid understanding of bookkeeping and financial processes is essential.
Duties
Finance Support (Core Focus)
Process and record invoices, staff expenses, supplier payments
Maintain and update internal financial records using Excel-based templates
Track payment schedules and credit limits for customers and suppliers
Identify and flag inconsistencies or potential issues in financial data
Assist in monthly financial reporting, audit preparation, and documentation
HR & Admin Support
Coordinate interview arrangements and onboarding documentation
Maintain employee records, leave logs, and HR admin tasks
Support HR compliance by liaising with legal advisors (clear instructions provided)
Assist with team events and internal scheduling
Office Operations
Manage daily office needs including supplies and basic logistics
Support internal reporting and documentation across departments
Ensure procedures and templates are followed accurately
Provide administrative support to management and team as needed
Requirements
Fluent in Mandarin and English (written & verbal)
Strong Excel skills and confidence in handling financial data
Basic bookkeeping or finance knowledge is required (AAT / related degree / prior experience in AP/AR/bookkeeping)
Attention to detail, responsibility, and willingness to follow structured processes
Strong organisational and multitasking skills
Experience in admin, HR, or operations support is a plus
