Job Summary:
We are seeking a highly organized, proactive, and discreet Admin Assistant to support both the Director and the HR Manager. This dual-role position is a brand-new role within an ever-growing organization that requires someone capable of managing a wide range of administrative and personal support tasks in a fast-paced, confidential environment. The ideal candidate will be resourceful, detail-oriented, and able to manage shifting priorities with professionalism.
Key Responsibilities:
Support to the Director:
Manage the Director's calendar, appointments, and meetings.
Coordinate travel arrangements, accommodation, and itineraries.
Draft and proofread correspondence and reports.
Handle confidential documents and sensitive business information.
Act as the first point of contact for internal and external communications.
Assist in organizing internal events, meetings, and offsite activities.
Support to the HR Manager:
Assist in maintaining employee records and HR databases.
Help schedule interviews, onboarding activities, and HR meetings.
Organize training sessions and HR-related events.
Support with preparation of HR documents such as contracts and letters.
Maintain confidentiality regarding employee and organizational matters.
General Duties:
Screen and direct calls, emails, and inquiries appropriately.
Perform general administrative tasks such as filing, data entry, and office supply management.
Coordinate cross-departmental communication when required.
Ensure timely follow-ups and completion of delegated tasks.
Requirements:
Proven experience as an Admin Assistant or in a similar administrative role.
Excellent organizational and time-management skills.
Strong written and verbal communication abilities.
High level of discretion and professionalism.
Proficiency in Microsoft Office Suite and calendar management tools.
Ability to work independently and handle multiple priorities.
Experience in an HR environment is a plus.
Preferred Qualifications:
A qualification or proven experience in a busy admin office is ideal.
