Primary Objective:



To provide efficient administrative support while serving as the first point of contact for client communication, inquiries, and service coordination. This role ensures smooth day-to-day operations and high-quality client experiences.

Key Responsibilities:



1. Administrative Support



Handle day-to-day office tasks including filing, documentation, and data entry. Manage calendars, meetings, and scheduling for internal teams. Maintain and update client and company records in databases or CRMs. Organize and manage digital and physical filing systems. Prepare reports, letters, presentations, and other business documents as needed.

2. Customer Support



Respond promptly and professionally to incoming phone calls, emails, and messages. Address customer inquiries, resolve issues, or escalate to appropriate departments. Track and follow up on customer requests or complaints to ensure timely resolution. Maintain high levels of customer satisfaction through active listening and problem-solving.

3. Client Services



Support onboarding of new clients: documentation, account setup, and service briefings. Serve as a liaison between clients and internal teams to ensure clear communication. Coordinate service delivery, follow-ups, and feedback collection. Maintain updated client records and ensure contract compliance.

4. Communication & Coordination



Communicate updates, schedules, and instructions clearly to clients and colleagues. Collaborate with other departments to fulfill client requirements smoothly. Prepare and share daily/weekly client service reports with management.

5. Compliance & Record-Keeping



Ensure client documentation and internal files meet company standards and compliance regulations. Support internal audits by maintaining accurate, up-to-date records.

Required Skills & Qualifications:



Strong communication (written and verbal) and interpersonal skills Proficiency in Microsoft Office, Google Workspace, and CRM tools Attention to detail and excellent organizational abilities Customer-focused with a professional and calm approach Ability to multitask and prioritize effectively in a fast-paced environment Prior experience in admin or customer service preferred
