We are looking for a talented
Admin Officer/Receptionist
that is caring, dynamic and resilient who, working in collaboration with the administration team), will provide high quality front of house services to academy staff and the wider community including families, trust partners and other external agencies.
It is crucial that the successful candidate has a sound understanding of how schools operate and how to achieve success within these parameters. As well as managing the reception, the successful candidate will also be part of the wider administration team.
You will work as part of our administration team. This is an exciting stage for the team as we have made many changes across the school over recent years and have consistently been high performing across the academy. The department consists of a 'family' of wonderful professionals who have an internal reputation of being an 'energetic, close and supportive'. Duties and Responsibilities
Constantly uphold and promote our values and vision
Undertake admin and reception duties for the academy, answering phone calls promptly and greeting visitors on arrival
Respond to enquiries promptly and accurately and ensure that any messages are passed onto the relevant member of the team in a timely manner
Categorise emails to the relevant team member when they arrive into the central admin inbox
Ensuring all visitors to the academy are recorded and have completed the relevant signing-in process
Issuing visitors with the relevant lanyard to ensure that safeguarding procedures are met
Providing radio contact for the SLT and pastoral team
Comply with GDPR regulations by enforcing a clear desk policy, shredding documents on a daily basis and keeping sensitive data in locked drawers
Adhere to office procedures and maintain accurate information to support the production of reports on events and implement and record event evaluations and sign-in sheets
Effectively use our MIS system (Bromcom) to input student information and run reports
Ensure the reception area is fully prepared on a daily basis; in both the cleanliness and appearance and by displaying the correct marketing materials, signage and resources
Maintain safety and security of all individuals involved in events by reporting any safety concerns, adhering to fire safety regulations and implementing correct procedures for recording attendance
Maintain a good working relationship with colleagues
Good communication, written and listening skills to be used at all times with students, customers and staff
Provide general administrative support alongside the wider admin team within the Main Office and Reception area.
