About Us:



We're looking for a motivated and proactive Admin & Operations Coordinator to support the daily operations of our Physiotherapy Clinics and Small Group Personal Training Gym. We are a Physiotherapy Clinic based in New Milton, Hampshire and a Physiotherapy Clinic with on Site Small Group Personal Training Gym and Pilates Space in Mudeford, Christchurch that is committed to making meaningful impacts on every patient's and client's life. We care about helping people to not only overcome their pain, but also to achieve long-lasting results with their health and fitness. We're looking for a self-starter who is eager to learn, take initiative and grow into a broader operations or management role.

The main purpose of the role:

is to support with admin, operations, marketing, social media, customer experience, clinic growth and team support.

You'll play a key role in keeping things running smoothly behind the scenes, from client coordination, sales, systems support, clinic owner and team member support, social media and strategic growth of the business.

You'll provide world-class customer service to every current and prospective patient and client and help implement the Limitless Physiotherapy & Performance/Limitless Health Hub approach to every patient and contribute to making meaningful impacts on their lives.

Main duties include:



Administration & Operations

Oversee daily front-desk and admin functions (scheduling, client communication, records, etc.) Support both clinic and gym teams with coordination of sessions, bookings, staff schedules, basic HR work, client membership management and scheduling/rescheduling patient appointments via telephone and email. Maintain operational systems and supports. Reporting of Key Stats for our Physiotherapy and Small Group Personal Training Sessions. Help streamline workflows, checklists, and standard operating procedures (SOPs) Ensure the team is hitting key performance indicators on a weekly and monthly basis (KPIs) Manage inventory, supplies, and equipment tracking Tracking customer satisfaction Membership management and payment tracking Maintaining and clean and tidy gym and clinic alongside the team
Owner / Management Support

Assist the clinic owner with day-to-day administrative tasks, follow-ups, and project coordination Provide support for operational improvements and system development. Help organise and lead team meetings. Tracking Physiotherapy Stats and Small Group Personal Training Stats and setting key focuses/targets in alignment with these tasks, delegating when needing to.
Marketing & Social Media

Assist with creating and posting social media content (photos, videos, captions, stories) Coordinate marketing campaigns, newsletters, and events Developing local strategic partnerships with local brands and companies to assist in our growth and community engagement. Support with our brand awareness and recognition online to assist in organic growth as well as paid marketing strategies. Meetings with the clinic owner and team to discuss marketing, including tracking KPIs, performance and marketing planning. Marketing Emails to our database
Sales

There may be at times the requirement to assist with sales calls and following up past leads as part of our Small Group Personal Training Sales Process. Tracking Sales Data and Stats, with Reports and Feedback to the Team

Hours:

24-37.5

Salary:

12.75-13.50 per hour excluding any performance based bonuses

Holiday:

5.6 weeks per annum Holiday including Bank Holidays on a Pro Rata Basis.

Requirements



Essential Skills & Qualities



Strong organisational and time-management skills: able to juggle multiple tasks and stay on top of details. Confident communicator: friendly and professional with clients, team members, and partners. Self-starter with strong initiative: sees what needs doing and takes action without needing constant direction. Reliable, punctual, and proactive in keeping operations smooth across two sites. Comfortable using digital tools (e.g., Google Workspace, Canva, social media scheduling, booking softwares). Able to create basic social media content (photos, captions, stories, short videos). Interest in health, fitness, or wellness industries. Flexible and willing to get involved in different areas of the business (admin, marketing, operations). Driving licence (travel between locations will be required) Basic marketing, design, or content creation skills.

Desirable



Experience in a clinic, gym, or customer-facing environment. Familiarity with booking systems, spreadsheets, or CRM tools. Previous experience in an admin, coordinator, or support role. Prior Sales Experience
