Pay and duration: 12.86 per hour, we expect this placement to last up to 3 months
We are looking for a highly organised and proactive Admin Team Co-ordinator to lead and support our busy administrative function. This is an excellent opportunity for someone confident working independently, managing a varied workload, and supporting a team to deliver an effective, efficient and customer-focused service.
What you'll be responsible for:
Coordinate and manage the day-to-day administrative service, ensuring smooth workflows and high service standards.
Act as first point of contact for administrative queries, providing professional and timely responses.
Supervise Band 3 Administration staff, including allocating work, managing attendance, supporting performance, and delivering inductions and appraisals.
Work closely with the Estates Support Officer and Business Support Manager, providing support and deputising as required.
Maintain effective record-keeping systems and ensure confidentiality and accuracy across all Trust IT systems.
Review and improve administrative systems and processes, identifying opportunities for efficiency and service improvement.
Communicate clearly and sensitively with staff, service users and stakeholders, including managing challenging situations.
Plan and prioritise your own workload and that of the team to meet deadlines.
Manage stock levels, maintain equipment, and ensure correct use of resources.
Provide flexible administrative cover and support wider team initiatives, meetings, and projects.
You'll learn the following whilst working at the trust:
1. An in depth understanding of the roles and responsibilities involved in working within the NHS
2. Knowledge of the systems used, to effectively complete your role to the highest standard at all times
3. A sense of teamwork, gained through working alongside and supporting colleagues from all levels, within the organisation
You'll have the following skills/experience:
Strong organisational, planning and problem-solving skills.
Ability to work independently, using initiative and sound judgement.
Excellent interpersonal and communication skills, with confidence handling complex or sensitive information.
Experience supervising administrative staff and coordinating workloads.
Competent in using IT systems, data entry, electronic records and office software.
Ability to adapt, prioritise and remain calm in a busy environment.
This role may require you to show evidence of vocational level 3 qualification or at least 2 years relevant experience.
