South Ayrshire Women's Aid is a registered charity based in Ayr, dedicated to providing vital information, support, and refuge to women, children, and young people who have experienced domestic abuse. Our mission is to empower those affected and ensure their safety and well-being.
Summary
We are seeking an Admin Worker to join our team at South Ayrshire Women's Aid. This role is essential in supporting our operations by managing administrative tasks efficiently. You will contribute significantly to our mission of providing a safe haven for those in need.
Responsibilities
To be responsible for entry into the building for service users and visitors
To receive all calls into the main office and ensure they are directed to the appropriate person
To provide clerical support to the Management Team.
Handle incoming and outgoing mail, sorting and redistribution of incoming generic email to the appropriate person or persons, prepare and post outgoing mail
Reconcile Petty Cash Accounts monthly
Carry out service evaluation questionnaires by contacting those who have recently made use of our service and compile reports as requested.
Compile a report for the Management and Board based on the statistical information
Assist with other clerical duties associated with process and projects of the organisation as appropriate
Assist with SAWA social media (Facebook and Twitter) posts and messages
Update SAGE system: purchase ledger management, sales orders; processing staff travel expenses; petty cash; payroll; undertake bank reconciliation
Compile the necessary budget information for Management for funding reports and information for updates as required
Maintain the system for Housing Benefit in refuge, recording all entry and exit dates and the calculation of overpayments/recovery of payment
Support Management when making applications to future funders, provide the necessary statistics and information requested
Support the whole team with SAWA database system.
Actively support the Management team in promoting a high quality service, complying with appropriate legislation to updating knowledge and skills through training and development.
Perform other duties as reasonably directed.
Requirements
Proven experience in an administrative role or similar position.
Strong organizational skills with attention to detail.
Proficiency in Sage is preferred.
Excellent phone etiquette and communication skills.
Ability to work independently as well as part of a team.
