JOB DESCRIPTION
PURPOSE:
The Admin and Attendance Monitoring Officer is responsible for providing administrative support to the Admin/Student Monitoring Team. He/she maintains a current knowledge of appropriate College policies, processes and procedures in an effort to ensure efficiency and integrity of the College.
Main responsibilities:
Provision of general administrative duties for colleagues and students
Ensure daily student class attendance registers are accurately completed and follow up with staff on any incomplete or missing data.
Maintain up-to-date records of student attendance, including reasons for absences and any interventions undertaken.
Prepare and distribute attendance reports for school leadership, highlighting trends and areas of concern.
Monitor and analyse attendance data to identify patterns, trends, and potential issues affecting student attendance.
Track attendance for vulnerable groups and liaise with relevant staff to address concerns.
Produce statistics and reports regarding student attendance and share findings with senior staff and pastoral teams.
Communicate effectively with students regarding attendance issues, offering support and guidance to improve attendance.
Coordinate meetings with students to develop personalized attendance improvement plans.
Collaborate with the designated teams to share concerns and promote the best interests of students
Registering new students into the ICTM system
Updating student records into the ICTM system
Preparing enrolment and other relevant letters (e.g. council tax, deferral etc.)
Phone calls for low attendance on daily basis
Checking that student files are complete and contacting students with incomplete files
Replying any queries regarding students from any relevant organisations
Sending text messages
Filing documents/letters
Additional responsibilities:
Covering Reception as and when required
Providing administrative assistance at open days and during student induction
Assist all other members of the College Admin team with overflow work when required
Any other duties as determined by the College management.
Essential Attributes
First Degree Educated to Degree level or equivalent
Reliable and punctual
Familiar with working confidentially
Able to carry out tasks in an environment that often deals with sensitive and sometimes distressing information
Strong IT skills, especially advance knowledge of MS Excel
Good data analytical skills
Excellent written and spoken English
Excellent organisational skills be able to prioritise between tasks to agreed objectives
Experience of working in the Education sector (Preferably in Higher Education)

The College will offer a competitive salary within the range 28K- 30K depending on qualifications and experience (pro-rata for a part-time post holder). In addition, there will be 33 days holiday per annum for a full-time candidate, including 8 statutory Bank Holidays. For a full-time member of staff there is a 3-5% pension contribution.
