Hours: 22.5 hours per week



Working Pattern: Mon - Fri, Tuesday / Wednesday / Thursday



9.00am - 5.00pm



Duration: 2 Months with possibly extension up to 4 months

Job Summary:



The Musculoskeletal Community Specialist Service (MSK CSS) provides triage and assessment for musculoskeletal conditions that have not responded to first line conservative treatment/management. The team of highly specialised Physiotherapists work independently and are trained beyond the traditional role of Physiotherapy in their area of expertise. They work closely with Medical Consultants and other community services.

The Integrated Pain and Spinal Service (IPASS) is responsible for the pathway for patients with spinal conditions and long standing pain, from GP referral to intervention or referral to secondary care. The team compromises of Advanced Physiotherapist Practitioners, Psychologists, Pain Consultants, Clinical Support Staff and Administration Officers.

Both services clinics are run across the West of Berkshire in a variety of settings including GP clinics and Community Hospitals.

The team of Administration Officers are led by Lead administration officers and an Administration Manager, and will be the central point of contact for service users, GPs, and other health professionals. The main responsibility is to support the referral & booking process and deal with all queries related to the patient pathway.

Key Duties and Responsibilities



To be responsible for dealing with patient referrals via E-Referrals, Fax/E-mail, and paper referral. This will involve scanning and inputting details in a timely and accurate manner and booking appointments. To review the referral information to ensure the referral is appropriate for the service. To be aware of other pathways for patients to ensure they are in the correct place and to deal with the referral once it has been triaged by the clinician. To deal with public and general practitioner enquiries about the progress of referrals, maintaining a helpful and professional approach at all times. To support the service clinicians including the administration of clinic lists, recording of outcomes and the process of requesting and following up further investigations. To ensure that all patients and visitors receive a high standard of customer care, including receive the appropriate paperwork prior to and following clinic appointments and investigations. To be able to deal with a number of different tasks at the same time i.e current work, phone calls and queries from clinicians. To maintain an appropriate appointments system ensuring urgent patients are given priority, in line with service protocols, and all patients are seen within the target time, whilst ensuring that clinics and groups are fully utilised. To work with appropriate database software (i.e RIO, EDT, EPRO and E-Referrals) to arrange appointments, input relevant data and maintain accurate patient information. To welcome patients, carers and family, to the department as necessary. To deal with a variety of people considering diversity, cultures and ages in person or on the telephone, in a sensitive manner at all times. To be able to recognise where there are barriers to communication and understanding, e.g. patients with loss of hearing, pain, anxiety, and non-English speaking patients. Relay information gathered clearly to the clinician, alerting them of any communication difficulties that the patient may have. To book translators for patients as required as via the central booking system. To deal with public, general practitioner & secondary care services enquiries about the progress of referrals and to liaise with a range of organisations and professions, for example hospital and primary care trusts. To have excellent oral and written communication skills when dealing with queries or problems from patients/carers or other professionals either face to face or via the telephone. To take messages, answer queries and deal with issues or relay on to the appropriate professional/service as required. To deal appropriately with initial verbal complaints, either by telephone or in person, using skilled and sensitive communication techniques and in line with Trust policies and procedures. To resolve these issues wherever possible, seeking support from the Management Team when issues are not easily resolved. Contribute to general administrative and clerical duties required for the efficient and effective running of the Service. Contribute to the planning and agreement of working pattern rotas to ensure the Service is adequately staffed at all times. Due to capacity issues, staff may need to be prepared to work flexible hours according to service need. Fully comply with policies, procedures and guidelines on confidentiality and code of conduct. Participate in the staff appraisal and training programme as required to fulfil the duties of the post. Contribute to team meetings and to work to develop the role of MSK CSS. This will include discussion on performance standards and plans for continuous service improvement. The post holder will be responsible for ensuring that any information is treated confidentially at all times, and will be expected to operate as an integral part of the team.
