Administration Assistant and Bookkeeper
to support the smooth running of our nursery office and financial administration.
Job Purpose
To provide efficient administrative and bookkeeping support for the nursery, ensuring that all records are kept up to date, financial tasks are completed accurately and on time, and that staff, parents and visitors receive a high standard of customer service.
Key Responsibilities
Administrative Duties
Maintain up-to-date records for children, including attendance, contact details, medical records, allergy reviews and permissions.
Support nursery staff with administrative tasks such as photocopying, printing, and filing.
Assist with the onboarding of new families, including registration paperwork and orientation.
Manage nursery supplies and place orders when necessary.
Organise and maintain digital and physical filing systems in line with GDPR.
Process any administration tasks required for the HR department, Payroll department, Directors and Manager.
Bookkeeping & Financial Duties
Assist with the processing of nursery invoices, fee payments, and issue monthly statements to parents/carers.
Maintain accurate financial records using bookkeeping software Xero.
Liaise with parents regarding payment queries and follow up on outstanding fees.
Record staff hours, process payroll information, and support with forecasting of staffing requirements.
Support the Nursery Manager in budget tracking and preparing financial reports.
Monitor petty cash, expenses, and receipts.
Skills & Experience
Essential:
Proven experience in administration and bookkeeping roles.
Strong organisational skills with excellent attention to detail.
Confident with numbers and financial processes.
Good working knowledge of Microsoft Office and bookkeeping software Excel and Xero.
Excellent communication skills, both written and verbal.
Ability to handle sensitive information with confidentiality.
Friendly, professional, and approachable manner.
Desirable:
Understanding of Early Years Funding and childcare billing.
Knowledge of safeguarding and GDPR practices.
