Overview


We are seeking a proactive Administration Assistant to support our team in a diverse day to day environment. The ideal candidate will possess strong organisational skills and a commitment to providing exceptional administrative support. This role is essential for ensuring the smooth operation of the companies within our group and will involve a variety of tasks that require both own initiative and attention to detail. This role is fast paced and rewarding for the right candidate; Poole Group are leading Property Developers in the region, alongside managing a large property portfolio.

Responsibilities



Provide comprehensive administrative support to team members, including scheduling meetings and managing calendars. Handle incoming calls with professionalism, demonstrating excellent phone etiquette. Maintain organised filing systems, ensuring documents are easily accessible. Perform data entry tasks accurately and efficiently, utilising Microsoft Office. Assist with bookkeeping tasks using software such as Xero, including invoicing and expense tracking. Prepare reports and presentations as needed, showcasing strong typing skills. Collaborate with colleagues to streamline office processes and improve efficiency. Manage correspondence, including detailed email correspondence, ensuring timely 'right first time' responses.

Skills



Previous office experience is essential, with a focus on administrative roles. Special attention will be paid to candidates with office experience within the construction, development or property industries. Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint) applications is required. Familiarity with QuickBooks, Xero or similar is advantageous but not mandatory. Strong organisational skills with the ability to prioritise tasks effectively. Excellent typing skills with attention to detail in data entry tasks. Demonstrated clerical experience, showcasing an understanding of standard 'good practice' office procedures. Effective communication skills, both written and verbal, are crucial for this role.
There may be scope, for the right candidate, to receive support in the form of a company vehicle and fuel allowance.

There is scope for much further paid opportunities in addition to the above salary, for the right candidate, as we operate an 'Out of hours' phone service for all tenants within our properties which the majority of the team currently opt into sharing for one week, every four weeks.
