Valley Provincial are looking for a strong
Administrative Assistant
to join the team. You will need the ability to prioritise a busy work schedule and meet set deadlines. Effective communication skills are essential to deal with incoming telephone calls, a wide range of internal and external customers and the varied queries that arise.
You will be involved in a wide range of administrative tasks which require excellent organisational abilities. The role involves regular use of Word, Excel, Outlook, and databases, so IT skills are essential.
Key Roles & Responsibilities:
Work closely with the Operations Director and GM Contracts Manager to provide daily admin assistance, diary management and general admin support
Maintain close contact with regular clients and manage client contact diary
Day to day overseeing of work pipeline schedules and assistance with schedule changes
Taking calls from key clients and logging urgent enquiries
Managing the site reporting system and client reporting systems (Elogbooks)
Booking in site visits with clients
Obtaining material costs and ordering
Monitoring training requirements and management of portal training for operational team
Point of contact for operational team for uniform and PPE requirements
Administration of GM fleet maintenance

Person Specification
Essential:
Effective communication and administration skills
Excellent levels of accuracy and attention to detail
Ability to prioritise and work to deadlines
Willingness to continually learn and adopt new skills and methods
Practical and hands on with a positive, proactive, helpful 'can do' attitude
Resourceful and good at problem solving
Good IT knowledge, including MS Office and database software
Desirable:
Experience of working with RAMS
Experience of working within a landscaping and horticultural business
Please note this is a permanent full time post, Monday through to Friday, from 8am to 5pm at our office in Dartford. It is essential that candidates must be able to reliably commute to our office.
