The role





The Administration Assistant role provides essential support to the Land & Planning team, ensuring smooth operations across meetings, documentation, financial processes, stakeholder engagement, and general administrative support.



Team Support & CoordinationProactively manage team diaries, schedule meetings, and coordinate internal and external appointments. Prepare meeting agendas, record minutes, and monitor action items to ensure timely follow-up and delivery.
Document & Data ManagementMaintain document control systems, ensuring compliance with company standards and Building Safety Regulations where applicable. Assist in the preparation and submission of planning applications, reports, and related documentation.
Financial & Contract AdministrationProcess invoices and raise purchase orders, support budget tracking for the department. Assist with team expense submissions.
Stakeholder LiaisonServe as a key point of contact for local authorities, consultants, and external stakeholders for meeting and event coordination. Monitor consultant appointments, ensuring insurance documentation is valid, current, and meets required levels.
General AdministrationOversee day-to-day administration for the Land & Planning team, including filing, correspondence, and stationery management. Support recruitment activities, onboarding processes, and training coordination for the team. Organise and coordinate Land & Planning team events, including project milestones and social gatherings.

Experience required





Proven experience in providing high-level administrative support, including diary management, meeting coordination, and minute-taking. Strong organisational skills, with the ability to manage multiple tasks and priorities. Excellent communication skills, both written and verbal. Attention to detail, especially when handling documents, contracts, and financial data. Proactive and self-motivated, with a collaborative approach to team support. Tech-savvy, with proficiency in Microsoft Office (Word, Excel, Outlook, Teams) and experience with SharePoint or similar platforms. Discretion and professionalism, especially when handling confidential information.
