Buro Happold is recruiting an Administration Assistant to provide administration support to the Group Coordinators (GCs), Engineering teams and local office as directed by the Lead Group Coordinator.
This person can be based in London on a hybrid working model.

About The Role
Based from our London office, the role will see the Admin Assistant develop to provide seamless and accountable support to the company's Group Coordinators and Engineering teams, planning, prioritising and managing multiple tasks with multiple deadlines, whilst maintaining attention to detail. This junior role is perfect for someone with a foundation in administration, looking to build on their existing experience while offering opportunities to learn and grow.
Key Responsibilities
You'll play a key role in supporting the day-to-day operations of our engineering teams and office, including:
General administration i.e., photocopying, scanning documents, arranging printing and binding.
Liaising and working with central business services teams when required, including liaising with IT to manage and maintain email distribution lists.
Arranging business travel (flights, car hire, taxi's, train tickets, accommodation) including Visa arrangements and passport applications.
Monitoring mailboxes, highlighting or picking up urgent requests as necessary.
Typing or modification of correspondence and documents prepared by engineering staff.
Assisting with housekeeping of non-project related filing systems.
Liaise with LGCs/GCs to assist with team meeting arrangements (booking meeting rooms, ordering of refreshments, preparing meeting agendas, provide minute taking and produce minutes.)
Set up of meeting rooms and support any LogiTech/Teams operational issues.
Creating and maintaining office databases in excel such as global headcount lists, office staff lists.
Assist in producing or formatting PowerPoint presentations.
Ordering business cards.
Welcome Coordinator i.e., identifying all upcoming new starters and planning and implementing their first day arrangements, such as equipment, desk bookings, inductions, office tour.
Assisting where possible with overflow of work such as updating team InDesign organograms, and Word, PowerPoint or InDesign report formatting.
Additional tasks as necessary.
What We Are Looking For:
Demonstrable computer and IT skills including; Word, Excel, PowerPoint, SharePoint and Teams.
Experience of setting up and maintaining administrative procedures.
Experience of maintaining quality management systems.
Ability to address challenging situations and problem solve.
Knowledge of InDesign would be desirable - training will be provided.
Knowledge of Photoshop and Illustrator would be desirable - training can be provided.
Solid foundation of office experience.
Working to multiple deadlines.
Experience of supporting large teams and working across offices.
Experience of supporting a team of people as well as working on a one-to-one basis.
