Summary
We are seeking a
proactive and personable Administrative Assistant
to join our dynamic team in Glasgow. In this role, you will play a key part in supporting day-to-day operations, managing client communications, and ensuring smooth coordination across departments. You'll often be the first point of contact for our clients -- so confidence, clarity, and warmth over the phone are essential.
Responsibilities
Manage daily office operations and maintain an organised, efficient workspace.
Handle inbound and outbound calls with professionalism and a friendly, engaging manner.
Build positive relationships with clients through effective communication and follow-ups.
Provide administrative support to various departments as required.
Coordinate correspondence and communication with clients, suppliers, and partners.
Maintain accurate records, databases, and filing systems.
Schedule meetings and manage shared calendars.
Prepare and update reports using Microsoft Office and Google Workspace.
Respond promptly to customer or client enquiries with accuracy and care.
Collaborate with internal teams to improve processes and overall efficiency.
Qualifications
Proven experience as an Administrative Assistant or in a client-facing office role.
Excellent phone manner with the ability to build rapport and communicate clearly.
Strong organisational skills and keen attention to detail.
Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint) and Google Workspace.
Confident multitasker with the ability to prioritise effectively.
Customer-focused mindset and a positive, can-do attitude.
Experience with QuickBooks or similar systems is an advantage (but not essential).
Previous experience in a retail, hospitality, or service-oriented business is a plus.
