Job Role:

Administration Assistant

Hours of work:

Monday to Friday, 37.5 hours per week, full time - 8am to 4:30pm

Primary role:



To provide smooth and timely postal & faxed communications between internal customers and external clients. To assist in smooth operations within the office environment by performing as necessary administrative/clerical duties within any area of the Firm. To support and assist Management and Fee Earners, by providing the highest possible service levels to all customers & clients.

The Assistant must:



Be able to work to a high level of professionalism by maintaining a courteous and helpful attitude when dealing with customers and client calls. Be able to effectively operate IT systems and post room equipment in relation to assigned duties and document handling. Maintain a good level of knowledge, understanding and respect for confidentiality of the services they provide to customers and be able to perform duties appropriate to the needs of the Firm and individual Practice areas. Gain and maintain high level of experience and professionalism for a corporate mailroom environment. Be able to build and manage effective working relationships with other members of the post room. Be able to communicate effectively with internal customers at all levels (fee-earners and support staff) and external clients. Have the ability to maintain a high standard of interpersonal and communication skills, especially in the context of client care, supported with strong organisational skills.

Tasks:



1. To ensure that all incoming mail is opened, sorted, scanned and distributed/delivered effectively, and that outgoing mail is prepared for pickup/collection by required deadlines.
2. Sign for postal or other deliveries.
3. Distribute faxes and internal/external post/files (some heavy lifting may be required).
4. Processing/recording and special delivery of mail as required.
5. Processing all Document Exchange mail.
6. An ability to lift a minimum of 7kg safely without assistance.
7. Communicate with customers in a professional manner, by telephone, e-mail or in person and effectively convey messages in a timely manner. Receive and make telephone calls, ensuring all messages are passed on accurately.
8. Deal with unassigned post and correctly assign them to the right Fee Earner/department.
9. To adhere to security and confidentiality procedures and ensure security of the Firm's and client documentation/information.
10. Use of computerised systems and proficient with Microsoft Outlook & Word.
11. Scanning documents/clients ID's /photocopying and faxing of documents as necessary/instructed.
12. Carry out the disposal of confidential waste in accordance with established procedures.
13. Strong sense of customer service.
14. Assist and arrange for the provision of refreshments/catering for the clients as required.
15. Ensure clean and tidy presentation of conference room areas, especially to and following meetings.
16. Deliver messages to Courts/Banks/Post Office and any other local addresses as requested.
17. Typing general correspondence.
18. Contribute to the development and improvement of postal services in relation to the general environment.
19. Respond to queries from the Partners, Fee Earners and Secretaries, either by phone or in person.
20. Any other duties as required to meet the needs of the business.

Job Types: Full-time, Permanent

Pay: 19,500.00-23,810.00 per year
