Location: Silverton Mews, Baldock (office - based role)
Job Purpose
This position will require an efficient, and friendly team player whose duties will include central administrative duties, ensuring all tasks are completed accurately and on time. They will support our electrical department - account executive, contract managers, health and safety and site personnel.
Duties and Responsibilities:
Answer and direct telephone calls and email enquiries, providing a friendly, helpful, and efficient service.
General administration - deal with post, take meeting minutes, compose memos, letters, and emails. Carry out printing, binding and other general admin duties as and when required.
Reconcile expense reports.
Book travel and hotels for both management and site personnel.
Maintain client-based workload portals - raise new jobs, maintain portal records through to completion, and assist the wider team in planning the required labour.
Download/upload project-related documentation and maintain digital filing systems.
Assist team members with the management and production of purchase orders, subcontract orders, and pro-formas.
Assist in the administration of project documentation - briefing documents, site requirements, drawings, health and safety information, etc.
Assist with ensuring that all projects are kept up to date with the current information -drawings, scope of works, proformas, business documentation, and health and safety file information.
Liaise with workforce and sub-contractors to ensure timely completion of projects.
Assist in the invoicing of pre-approval works, post-approval works, and fully completed projects - complete invoicing paperwork for submission.
Oversee effective time management of tasks, ensure where client deadlines are present these are adhered to, or if not realistic, highlighted to relevant personnel and expectations managed.
Key Skills
Proven administration experience in a similar role.
Skilled in Microsoft Office 365 - Sharepoint, Teams, Excel, Word, PowerPoint, and Outlook.
Excellent organisational and planning skills - the ability to multi-task and effectively prioritise tasks on a daily, weekly, and monthly basis.
Attention to detail and problem-solving skills - capability to deliver all work to a high standard and deal with any matters in a timely and proficient manner.
Excellent written and verbal communication - competent in answering all face-to-face, email, and telephone enquiries politely and professionally.
Effective time management and ability to meet deadlines.
Confidentially handle sensitive information.
