We are looking to recruit an experienced Administrative Assistant to provide administrative support to the Head of School to enable them to undertake their professional duties. The post involves working closely with the Senior Leadership Team and Business Manager.
Administrative and office duties
1. Communicate effectively with a wide variety of people including young people, parents/carers, colleagues, headteachers, outside agencies and members of the public, and act on own initiative to deal with day-to-day enquiries in person, by telephone or in writing.
2. Compose general letters and use appropriate word processing packages, email, SIMS, CPOMS and the internet to support the administration of the School.
3. Use the Schoolcomms communication system to send and respond to texts from parents and carers.
4. Liaise with Senior Leadership Team to contact parents/carers to arrange admission interviews.
5. Maintain accurate spreadsheet records of all referrals.
6. Prepare admission paperwork and ensure paper files are created for each student.
7. Liaise with the Assistant and Deputy Heads regarding on roll dates and ensure that students' admission records are entered accurately onto SIMS.
8. Write to schools to inform them of on/off roll dates.
9. Liaise with mainstream schools regarding transferring students' files and CTFs, keep accurate spreadsheet records of movement of student files.
10. Ensure safeguarding files are created for all new students.
11. Ensure leavers' school files are archived and destroyed correctly or forwarded onto other schools, in line with legal requirements.
12. Take notes, type up and circulate via email, of the daily briefings.
13. Liaise with the school nurse to arrange visits as necessary.
14. Undertake student filing and photocopying as required.
15. Provide cover for the Administrative Team.
Additional duties
16. Promote the Trust's core themes of working with vulnerable young people and helping them to flourish.
17. Promote the safeguarding and welfare of children and young people.
18. Comply with the Trust's policies and procedures (e.g., equal opportunities and health and safety).
19. Ensure high standards of behaviour and dress are maintained
20. You may be required to undertake your duties in any one of SVC four provisions.
