JOB TITLE - ADMIN ASSISTANT / WORKS SCHEDULER - Full Time
Due to expansion, An excellent opportunity has arisen at DAL Electrical Services Ltd, we are looking for a candidate to fill the position of Electrical Scheduler.
The ideal candidate must be focused, reliable and fully computer literate. They must possess excellent literacy and administration skills with an exceptional telephone manner. As an Works Scheduler, you'll play a vital role in ensuring our service/reactive operations run seamlessly, supporting our electrical team to deliver excellent service to our customers.
ROLE
Schedule planned and reactive service calls efficiently for our nationwide electrical team.
Act as the central point of contact between Engineers, customers, and internal teams.
Manage and optimise the allocation of Engineers resources to ensure timely response to customer needs.
. Upload new service jobs to our inhouse system and allocate workforce.
Monitor job progress and update stakeholders on outcomes and timelines.
Maintain accurate records of scheduled and completed works.
. Collaborate with team members to ensure all tasks are assigned and adequately resourced.
. Review outputs for compliance with quality standards, specifications, and safety requirements.
. Work closely with the Contracts Managers and Company Administrator to ensure smooth coordination between operational teams and the contracts team.
. Support in the preparation of weekly briefs and updates for internal teams and clients.
. Provide insights into how operational workflows can be optimised and streamlined for maximum efficiency.
. Prioritise and schedule client requests based on urgency and impact, ensuring no delays in service delivery.
. Assist with H&S requirements for our workforce, i.e safety equipment, H&S documentation.
. Regularly assess the quality of work and ensure it meets both internal standards and client expectations
. Act as the main point of contact for client requests, ensuring that Service Level Agreements (SLAs) are met.
. Prioritise and schedule client requests based on urgency and impact, ensuring no delays in service delivery.
. Monitor ongoing work to ensure it aligns with the agreed-upon standards, addressing any issues or deviations quickly.
. Track and report on SLA compliance, making adjustments as necessary to avoid service interruptions.
. Administration support by providing purchase orders to engineers, ensuring costs are allocated to the correct service job. Adding expenses and scheduling hours to ensure all costs are captured.
What We're Looking For
Experience in scheduling, planning, or a similar coordination role (preferred but not essential).
Excellent communication skills, with the ability to build rapport with customers and colleagues.
Strong organisational and time-management skills.
Proficiency in Microsoft Office and scheduling software/tools.
A calm and solution-focused attitude in a fast-paced environment.
. The ability to understand and achieve expected key performance indicators (KPI's).
