Key Responsibilities
:
Perform accurate and timely data entry into internal systems & spreadsheets, ensuring all part movements, order updates, and supporting documentation are correctly logged
Complete and maintain order checklists, ensuring all administrative tasks are actioned in line with business processes
Update and manage spreadsheets used for tracking orders, inventory, part status, and schedules
Log quotes in line with business processes
Raise orders in line with business processes
Monitor shared inboxes and respond or escalate emails related to parts, services, and orders in a timely and professional manner
Support internal teams by keeping key databases current and accurate, enabling smooth workflow and effective decision-making
Cross-check supplier documentation (quotes, invoices, delivery notes) for accuracy and ensure all data is correctly reflected in internal systems
Assist with the preparation of status reports, tracking turnaround times, open tasks, and outstanding actions
Flag any data inconsistencies or delays promptly and support their resolution through accurate recordkeeping and communication
Maintain orderly digital filing systems for audit, compliance, and operational review purposes
Contribute to administrative process improvements, identifying ways to streamline or automate repetitive tasks
Person Specification:
Previous experience in a busy administrative role
Highly organised with the ability to manage multiple tasks and shifting priorities
Calm and focused under pressure, with strong attention to detail and accuracy
Confident communicator--written and verbal--across all levels of a business
Strong time management and prioritisation skills
Positive team player with a flexible and proactive approach
Able to use initiative and think critically to resolve issues
Comfortable working independently and taking ownership of assigned tasks
Proficient in Microsoft Office (Excel, Outlook, Word)
Familiarity with database systems and accurate data entry processes
Holds a full UK driving licence and access to own transport (due to office location)
Willing to contribute ideas to improve processes and support business efficiencies
