Job Summary



The Administration & Marketing Coordinator is responsible for supporting business development through proactive sales administration and marketing activity. This role plays a critical part in shaping the customer journey, ensuring that new and existing clients receive a professional, efficient, and positive experience throughout. The position combines coordination, new business generation support, and marketing delivery to increase the overall effectiveness of the sales and marketing functions.

Key Responsibilities



Sales Administration



Manage diaries and distribute all inbound sales enquiries, including those received by email, website contact forms, internal requests, and the online chat facility. Coordinate pre-start site surveys and project handovers to relevant team members. Maintain and develop relationships with existing and new customers. Communicate effectively and positively within the sales team and across all staff. Collate and share job details and handover requirements accurately. Check and prepare all customer-facing documents prior to submission, including proposals, quotations, pricing structures, and agreements. Ensure clear and detailed communication both internally and externally, across all channels. Support new customer enquiries in the absence of a surveyor or the Business Development Manager. Assist with business development projects to support company growth.

Marketing



Deliver both digital and print marketing activity. Support website performance through ideas, testing, analytics, and ongoing improvements to generate leads and drive sales. Maximise SEO performance through the strategic use of language, keyword integration, file labelling, image optimisation, and data analysis. Write content and source imagery for use online and in traditional print/news formats. Post content across social platforms in line with the wider marketing plan and social media strategy. Analyse and report on website performance to inform future marketing activity. Develop and maintain a social media content plan. Attend networking events where relevant to support business growth.

Process & Efficiency



Streamline handovers between sales, surveying, and operations teams to reduce delays and improve clarity. Follow and contribute to best practice standard operating procedures to ensure consistency. Reflect on feedback from customers and colleagues and adapt processes accordingly. Prioritise workload effectively to meet deadlines and maintain high organisational standards. Uphold strong grammar, accuracy, and attention to detail in all written communication. Manage multiple tasks and make informed decisions in line with business needs. Act as a point of contact for customers when surveyors or the Business Development Manager are unavailable, ensuring queries are handled promptly.
