This post sits within Prison Operational Directorate within the Operational Implementation & Support Group (OISG). OISG manages a portfolio of projects across HMPPS.
The successful candidate will work in a team which will provide professional and efficient project support to senior managers. The candidate will be expected to support with a variety of tasks including:

• Collect data and forecast and assist with compilation of reports.
• Update plans supporting the Secretariat function for the relevant governance boards.
• Develop and maintain project files.
• Establish document control procedures.
• Administer and when necessary, attend meetings to provide project support (action logs, booking meetings).
• Support the national OISG Helpline
• Functional Mailbox Management

Project experience is not necessary, instead we are looking for a candidate who is willing to learn, is enthusiastic and enjoying working as a team. Full training will be provided.
This is a good opportunity to develop project management skills and data awareness in an exciting and inclusive team.
This post is suitable for those wishing to gain band 3 experience on temporary promotion or as a level transfer.
Standard working hours for this post are 37 hours per week excluding breaks which are unpaid but will consider flexible working arrangements including hybrid working.
There may be some occasional travel to other locations however the base location for the post holder can be flexibly negotiated so we welcome applicants from across the country.
Main Activities/Responsibilities
The job holder will be required to undertake the following duties and responsibilities:

• Collect data and forecast and assist with compilation of reports.
• Update plans supporting the Secretariat function for the relevant governance boards.
• Develop and maintain project files.
• Establish document control procedures.
• Administer and when necessary, attend meetings as secretary producing a first draft of minutes and action logs.
• Contribute in the use of specialist tools and techniques such as planning and control, tools, risk analysis.
• Maintain and update the programmes documentation such as Quality Register, Configuration Items Records and any other register / logs delegated by the Project Manager.
• Chasing action owners for updates on their actions.
• Maintaining the Terms of Reference, membership, and distribution lists.
• Filing, archiving and enacted version control on all meeting documentation.

Working Arrangements & Further Information
The MoJ offers Hybrid Working arrangements where business need allows. This is an informal, non-contractual form of flexible working that blends working from your base location, different MoJ sites and / or from home (please be aware that this role can only be worked in the UK and not overseas). Some roles will not be suitable for Hybrid Working. Similarly, Hybrid Working will not suit everyone's circumstances. Arrangements will be discussed and agreed with the successful candidate(s) and subject to regular review.
For nationally advertised roles, the successful candidate(s) will be appointed to a MoJ office location, which may include their nearest Justice Collaboration Centre or Justice Satellite Office. This will be discussed and agreed on the completion of pre-employment checks.
Some of MoJ's terms and conditions of service are changing as part of Civil Service reform. The changes will apply to staff joining MoJ who are new to the Civil Service. Staff joining MoJ from other civil service employers will transfer onto the new MoJ terms if they are already on 'modernised' terms in their current post or onto 'unmodernised' MoJ terms if they are on 'unmodernised' terms at their current post. Standard full time working hours are 37 hours per week excluding breaks which are unpaid. HMPPS welcomes part-time, flexible and job-sharing working patterns, where they meet the demands of the role and business needs.
