We have an exciting opportunity available for an Administration Team Leader to join our Plymouth team, working full time across our Plymouth Dental Education Facilities.
We are looking for an enthusiastic and motivated individual who will be responsible for managing a team of Dental Administrators to ensure they provide efficient and effective support. It is essential that you have demonstrable experience of managing the performance of individuals and teams, enjoy detailed work, have good communication skills and knowledge of Microsoft Office software, particularly Microsoft Excel, Word and Outlook. Previous experience of managing multi-site teams in an administrative role is desirable but not essential.

A starting salary of 28,802 per annum, rising to 32,260 on satisfactory completion of annual appraisals.

Role: Administration Team Leader

Reports to: Clinic Manager
Responsible for: Plymouth Dental Administration Team
Role summary: Based from the Plymouth Dental Education Facilities in Derriford and Devonport, the main objective of this role is to oversee the Dental Administration Team and ensure they are providing exceptional standards of administration duties across both Plymouth sites to support the delivery of dental care and treatment at each facility. The post holder will be required to travel independently between both Plymouth sites on a routine basis to manage and support delivery of clinical activity.
The post holder will be directly responsible for the motivation, support and training of all dental administration staff. This role includes but is not limited to; Line management of the dental administration team, strong leadership to monitor and maintain delivery of contractual activity, Patient interaction including appropriate use of patient management system, Call handling, Appointment booking, Student and Clinician liaison and general reception duties/administration support.
Key accountabilities:
Effective leadership of the dental administrative team.
Effective line management of administration staff including all appraisal, one to one meetings, performance management, absence management and other formal processes as required
Monitoring and management of contractual KPIs including call handling, clinical occupancy and patient throughput
Organises tasks and activities, including maintaining the appointment book to make optimum use of clinical time and increase positive outcomes relating to patient treatment
Risk assessment of and promoting Health and Safety within of the working environment
Audit, investigation and objective setting to continually improve administration processes throughout PDSE
Organise administration staff rotas to ensure effective cover during clinic and non-clinic time
Develop and support standardisation of administration processes throughout PDSE ? Development and delivery of staff and student inductions
Assist with investigating and resolving patient complaints
Work with the Senior Management Team to ensure effective wait list management
Monitoring of both internal and external patient referrals and pathways to provide the most effective and efficient patient care
Ensure effective and compliant use of practice management system for whole patient administration function in PDSE
Front of house reception duties including communicating with staff, dental students, patients both in person and on the telephone, in a courteous and efficient manner
Responsible for ordering stock and supplies using an electronic ordering system
Assist with the administration of patient satisfaction questionnaires, research and audits
Handling patient payments
The post holder will be required to work at both Plymouth Facilities but, with reasonable notice, may be asked to work at or attend meetings at all of the DEF's in the Peninsula
The post holder will be required to attend training locations away from their main place of work and may be asked to undertake any necessary training in support of the duties required
To ensure that all information relating to patients, staff and students gained through DEF employment is kept confidential

Further education/qualification in relevant field preferred but industry experience acceptable if able to demonstrate the skills, knowledge and ability to work to this level
