Join Planner Bee VA Services as our Administrative Assistant! We're an innovative and award-winning eco virtual assistant company with a passion for supporting sustainable and ethical businesses through marketing, carbon footprinting, and administrative services.

As our Administration Assistant, you'll support the team and clients by managing inbox communications, scheduling meetings, and maintaining spreadsheets and documents. You'll coordinate travel logistics, keep daily tasks on track, conduct research, and help with financial admin such as filing expenses and invoices. Your proactive support will ensure everything runs smoothly for Planner Bee VA Services and our clients.

Key Responsibilities



Manage and organise client inbox communications; Proactively schedule client meetings and manage diaries to avoid clashes; Create and maintain well-formatted spreadsheets, documents and presentations; Efficiently manage daily project tasks to ensure timely progress for the company and clients; Handle all aspects of client travel logistics (transport, accommodation, restaurant bookings); Conduct research to provide valuable insights for company and client decision-making; Provide financial administration support, including the collation, organisation and filing of expense documents and invoices; Offer broad and proactive administrative assistance to the Planner Bee VA Services team and clients.

Knowledge & Experience



At least 1 year of experience in a relevant administrative, PA, or executive assistant role. Comfortable using basic computer applications such as Word, Excel and PowerPoint and a willingness to develop proficiency in other applications. A strong personal interest in the current climate crisis and a genuine passion for contributing to a business with a positive environmental mission.

Strong organisational skills and attention to detail. Exemplary written communication skills, showcasing meticulous attention to detail in spelling and grammar. Friendly and approachable with a professional demeanour. Proactive and resourceful, able to work independently and take initiative. Able to manage multiple priorities and meet deadlines in a fast-paced environment. Tech-savvy individual with a keen enthusiasm for learning new software and embracing new tools and platforms, including AI. Comfortable working remotely, with a proactive approach to progressing tasks independently.
