We are a young company, gaining momentum in the education sector and require an Administrative Assistant / Accounts Clerk to support the accounts department in our Oxford Office.

Duties:
Administrative Support:
Provide general administrative support to the finance department, including scheduling meetings, appointments, preparing correspondence, and maintaining office supplies.
Prepare meeting agendas, take minutes, and distribute them to relevant parties.
Email and correspondence management - Handle correspondence, including emails, phone calls, and letters, on behalf of the manager / department
Assist with special projects and other duties as assigned by management.
Filing - Physical and cloud based filing of Sales, Purchases, VAT, Year end, Payroll and other data.
Diarising renewals for insurances, statutory deadlines, statutory payments etc
Getting quotations for purchases, insurances etc
Identify opportunities to improve administrative processes and increase efficiency
Scan documents into Dext for the accounts team to process
Draft, proofread, and edit documents, reports, and presentations
Payroll Support:
Assist with payroll processing - gathering times, absences, and other payroll info and send to the payroll bureau for processing. This will include keeping starters and leavers information, maternity and paternity information as well.
Entering payroll info on the payroll bureau's software
Email staff payslips and deal with any staff queries
Check HMRC portal for updates on staff tax codes
Suppliers and Customer Communication:
Communicate with suppliers regarding billing and payments. Ensure proper paper work is given so we can process it through the accounts system
Liaise with Universities related to invoices, payments, and account balances.
Maintain internal spreadsheets of students enrolled into university, keeping record of enrolled, withdrawn and deferred.
Keep track of referrals and commissions owed.
Prepare invoices and send to customers. Actively follow up for payments and outstanding students to be enrolled/billed
Bookkeeping and accounts support (it is not mandatory that you know this as training will be provided, but it is essential that you know and have good working knowledge of Excel and other MS applications)
Process information on Dext
Understand cost classifications
Prepare schedules on excel for accounts support
Understand VAT
Help with processing information in Xero
Other bookkeeping duties
